Job Summary

Role: Office Administrative Assistant

Location: Warsaw (in-person)

Salary: 6900 - 79000 gross PLN/month

We are recruiting for a proactive highly organised Office Administrative assistant to support our operational and administrative functions.

Office Administrative Assistant the role

Client & Portfolio Management

  • Manage a large and varied client portfolio to a high standard both nationally and internationally.

  • Administer onboarding of new clients including organising EPR & VAT registration documents as well as updating registrations of existing clients.

  • Maintain accurate internal systems with uptodate client information.

  • Supporting other members of the VAT registration and VAT compliance teams in their daily tasks.

Administrative Responsibilities

  • Organise and maintain filing systems for confidential company and client documentation.

  • Manage office supply stocks and place orders as needed.

  • Distribute and store incoming and outgoing correspondence including letters emails and parcels.

  • Handle commercial and fiscal documentation (e.g. powers of attorney deeds tax forms) with relevant authorities.

  • Perform adhoc administrative duties as required.

Communication & Coordination

  • Communicate professionally with clients colleagues authorities and external partners by phone and email.

  • Maintain transparent internal communication to support a seamless customer journey.

  • Work effectively both independently and within a small team.

  • Project & Deadline Management

  • Monitor and meet deadlines for both routine tasks and adhoc work.

  • Keep uptodate with industry changes and engage in self-development.

Office Administrative Assistant the person

Essential

  • 3 years of relevant administrative experience in a similar or fastpaced environment.

  • Excellent knowledge of Microsoft Office products.

  • Strong organisational and problemsolving skills with high attention to detail.

  • Excellent written and verbal communication skills in Polish and English.

  • Ability to multitask work independently and manage competing priorities.

  • Enthusiastic selfdriven and a quick learner.

  • Experience handling confidential documentation and working with authorities or regulatory bodies.

Desirable

  • Knowledge of international ecommerce.

  • Knowledge of local tax authority procedures and obligations.
