We are looking for an experienced and highly trusted Executive Assistant to partner with the Executive Vice President & Head of Ethics & Legal Affairs and join us in our Brussels office in Belgium.
About the role
This is a pivotal role at the heart of the organization supporting senior leadership and acting as a true anchor for the Ethics & Legal Affairs (ELA) function.
You will optimize the EVPs effectiveness by proactively anticipating business needs applying best practices in executive support and ensuring excellence in quality responsiveness accuracy and confidentiality. You will also develop a strong understanding of ELA priorities and contribute to seamless interaction with Executive Management the Board and key stakeholders.
What youll do
As an Executive Assistant you will:
- Act as a trusted partner to the EVP proactively managing agendas priorities and complex calendars in alignment with the corporate and leadership calendars
- Handle all correspondence and information flow ensuring timely follow-up and strict confidentiality
- Prepare the EVP for meetings by collecting structuring and synthesizing briefing materials and background documentation
- Coordinate and organize leadership meetings off-sites and events including logistics agendas pre-reads and follow-up actions
- Liaise with internal and external stakeholders including Executive Committee Board of Directors and Board Committees ensuring deadlines and governance requirements are met
- Organize business travel end-to-end with flexibility and attention to detail
- Create and manage high-quality documents and presentations including executive PowerPoint decks and monthly reports for senior governance bodies
- Support budgetary and administrative processes including purchase orders invoicing (e.g. law firm invoices) and expense management
- Act as a central point of communication for the ELA team fostering collaboration with other ExCom and leadership assistants
- Support onboarding of new team members and contribute to team engagement initiatives and events
Interested
For this role were looking for the following education experience and skills:
- Significant experience as an Executive or Administrative Assistant supporting senior leaders
- Proven ability to manage complex priorities multiple stakeholders and confidential information with sound judgement
- Excellent planning organizational and follow-up skills with strong attention to detail
- Outstanding communication skills and the ability to build effective working relationships with senior management and peers
- Fluency in English and French both written and spoken
- Strong proficiency in Microsoft 365 (Outlook Teams PowerPoint Excel Word) and the ability to quickly adapt to new tools and systems
- A collaborative mindset resilience and the ability to adapt to change in a fast-paced environment
- A positive reliable and service-oriented attitude with a genuine willingness to learn and continuously improve
- You are a confident proactive and discreet professional who thrives in a senior leadership environment.
