Job Summary

Site Operations Coordinator About the Job:

We are seeking a highly organized and proactive Site Operations Coordinator to serve as the central point of coordination within our office. This is a fully in-office role where you will act as the glue that keeps daily operations running smoothly.

The ideal candidate is a hybrid professional with strengths across executive support office management customer service and sales support ensuring seamless communication between internal teams and external clients.

Key Responsibilities:

Office Operations & Administration

  • Manage day-to-day office operations to ensure a smooth and efficient workplace
  • Serve as the first point of contact for visitors clients and vendors
  • Maintain office organization supplies and overall environment

Executive Support

  • Provide high-level administrative support including calendar management scheduling and coordination
  • Prepare meeting agendas take detailed notes and track action items
  • Coordinate travel arrangements and prepare briefing materials and presentations

Customer Service & Client Relations

  • Act as the primary contact for customer inquiries via phone email and in-person interactions
  • Resolve client issues promptly while ensuring a high level of customer satisfaction
  • Maintain accurate and up-to-date records in CRM and ERP systems

Sales Support

  • Assist the sales team with lead qualification and follow-ups
  • Prepare quotes proposals and sales documentation
  • Support order processing and transaction management
  • Collaborate closely with sales to ensure smooth client onboarding and servicing

Qualifications & Skills:

  • Bachelor s degree preferred (or equivalent experience)
  • 2 5 years of experience in office administration executive support customer service or similar role
  • Strong organizational and multitasking skills
  • Excellent communication and interpersonal abilities
  • Experience with CRM and ERP systems is preferred
  • Proficiency in Microsoft Office (Word Excel PowerPoint Outlook)
  • Ability to work independently in a fast-paced in-office environment
