We are seeking a highly organized and proactive Site Operations Coordinator to serve as the central point of coordination within our office. This is a fully in-office role where you will act as the glue that keeps daily operations running smoothly.
The ideal candidate is a hybrid professional with strengths across executive support office management customer service and sales support ensuring seamless communication between internal teams and external clients.
Key Responsibilities:
Office Operations & Administration
Manage day-to-day office operations to ensure a smooth and efficient workplace
Serve as the first point of contact for visitors clients and vendors
Maintain office organization supplies and overall environment
Executive Support
Provide high-level administrative support including calendar management scheduling and coordination
Prepare meeting agendas take detailed notes and track action items
Coordinate travel arrangements and prepare briefing materials and presentations
Customer Service & Client Relations
Act as the primary contact for customer inquiries via phone email and in-person interactions
Resolve client issues promptly while ensuring a high level of customer satisfaction
Maintain accurate and up-to-date records in CRM and ERP systems
Sales Support
Assist the sales team with lead qualification and follow-ups
Prepare quotes proposals and sales documentation
Support order processing and transaction management
Collaborate closely with sales to ensure smooth client onboarding and servicing
Qualifications & Skills:
Bachelor s degree preferred (or equivalent experience)
2 5 years of experience in office administration executive support customer service or similar role
Strong organizational and multitasking skills
Excellent communication and interpersonal abilities
Experience with CRM and ERP systems is preferred
Proficiency in Microsoft Office (Word Excel PowerPoint Outlook)
Ability to work independently in a fast-paced in-office environment
