Site Operations Coordinator About the Job:
We are seeking a highly organized and proactive Site Operations Coordinator to serve as the central point of coordination within our office. This is a fully in-office role where you will act as the glue that keeps daily operations running smoothly.
The ideal candidate is a hybrid professional with strengths across executive support office management customer service and sales support ensuring seamless communication between internal teams and external clients.
Key Responsibilities:
Office Operations & Administration
- Manage day-to-day office operations to ensure a smooth and efficient workplace
- Serve as the first point of contact for visitors clients and vendors
- Maintain office organization supplies and overall environment
Executive Support
- Provide high-level administrative support including calendar management scheduling and coordination
- Prepare meeting agendas take detailed notes and track action items
- Coordinate travel arrangements and prepare briefing materials and presentations
Customer Service & Client Relations
- Act as the primary contact for customer inquiries via phone email and in-person interactions
- Resolve client issues promptly while ensuring a high level of customer satisfaction
- Maintain accurate and up-to-date records in CRM and ERP systems
Sales Support
- Assist the sales team with lead qualification and follow-ups
- Prepare quotes proposals and sales documentation
- Support order processing and transaction management
- Collaborate closely with sales to ensure smooth client onboarding and servicing
Qualifications & Skills:
- Bachelor s degree preferred (or equivalent experience)
- 2 5 years of experience in office administration executive support customer service or similar role
- Strong organizational and multitasking skills
- Excellent communication and interpersonal abilities
- Experience with CRM and ERP systems is preferred
- Proficiency in Microsoft Office (Word Excel PowerPoint Outlook)
- Ability to work independently in a fast-paced in-office environment
