GENERAL STATEMENT OF THE FUNCTION

The WIN Job Center Receptionist serves as the first point of contact for customers visiting the center providing essential support and assistance in navigating available services. This role is crucial in triaging customer needs answering inquiries and ensuring a welcoming and efficient experience for all visitors. Additionally the Receptionist will assist customers in utilizing the Career Resource Lab as time permits facilitating access to valuable resources and tools.
QUALIFICATIONS REQUIREMENTS

- Previous experience in a customer service or receptionist role preferred.
- Excellent communication and interpersonal skills with a friendly and professional demeanor.
- Strong organizational skills with the ability to multitask and prioritize tasks effectively.
- Proficiency in basic computer skills including Microsoft Office applications and internet navigation.
EDUCATION AND/OR EXPERIENCE
High School diploma or equivalency (HSE); and at least one year related experience and/or training; or equivalent combination of education and experience.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
Maintain knowledge of diversity-related issues legislation and best practices.
- Greet and welcome customers as they enter the Career Center providing friendly and professional assistance.
- Triage customer needs and direct them to the appropriate staff or resources within the center.
- Provide information about available services programs and resources offered by the Career Center WIOA training and service programs Hinds Community College programs and other workforce partner opportunities.
- Answer incoming phone calls in a timely and courteous manner addressing inquiries and directing calls to the appropriate staff members.
- Take detailed messages when necessary and ensure prompt follow-up or resolution of customer inquiries.
- Schedule appointments for customers with Career Coaches Customer Engagement Managers Business Development Managers or other workforce partner staff members as requested.
- Maintain an organized appointment calendar and communicate appointment details to relevant staff members.
- Maintain a clean and organized reception area ensuring it is well-stocked with informational materials and resources.
- Order and maintain supplies for office and/or cleaning supplies.
- Inform customers of upcoming job fairs.
- Work collaboratively with job center staff to ensure efficient and effective service delivery.
- Participate in staff meetings and training sessions as required.
- Ensure that informational brochures job listings and other materials are available and up to date.
- Maintain a clean and organized reception area.
- Check and respond to email inquiries and provide information or direct to relevant personnel.
- Manage visitor sign-in processes including collecting necessary information and issuing visitor badges.
- Handle incoming and outgoing mail and packages as needed.
- Complete performance reporting weekly and monthly as required by supervisor.
