Job Summary
Position Summary
The Externship Coordinator Assistant plays a key role in supporting the planning coordination and execution of veterinary student externship programs. This position ensures a seamless and engaging experience for students while supporting long-term recruiting efforts and strengthening relationships with veterinary schools.
Key Responsibilities
Externship Coordination & Administrative Support
- Coordinate externship outreach applications and scheduling support
- Assist in matching students with hospitals based on interests and learning goals
- Screen applications to ensure candidates meet program requirements
- Collect and organize student learning objectives and required documentation
Communication & Student Experience
- Serve as a primary point of contact for externs ensuring timely and professional communication
- Address student questions and concerns to create a positive experience
- Document student interactions in SmartRecruiters (applicant tracking system)
- Partner with the Externship Coordinator to resolve issues and improve processes
Documentation & Program Tracking
- Maintain accurate records of participation hours and required paperwork
- Manage school-specific documentation requirements
- Track engagement and outcomes to support program effectiveness and recruiting goals
Collaboration & Event Support
- Collaborate with recruiting operations and hospital leadership teams
- Support coordination of recruiting events career fairs and campus visits
- Assist with travel arrangements and logistics as needed
- Contribute ideas to improve student programs and processes
Qualifications :
Education
- Bachelors degree preferred
Experience
- Experience in coordination scheduling or administrative support required
- Experience with high-volume programs or enrollment processes preferred
- Veterinary or healthcare experience preferred
Skills & Competencies
- Strong verbal and written communication skills
- Excellent organizational skills and attention to detail
- Ability to manage multiple priorities in a fast-paced environment
- Adaptability to work with individuals from diverse backgrounds
- Strong problem-solving skills with a solutions-oriented mindset
- Proficiency with applicant tracking systems scheduling tools and standard office software

Additional Information :
Travel Requirements
- Up to 25% travel for campus visits recruiting events and career fairs
- Coordinate and book travel through the company travel program
- Represent Alliance Animal Health at student and industry events
