Role Clarity: Supply Chain Executive
Reporting To: Supply Chain Manager
Role Definition:
The Supply Chain Executive is responsible for ensuring timely and accurate order processing physical dispatch inventory updates and real-time data accuracy in LIMS. The role supports daily operations by ensuring stock availability GRN management and smooth documentation to achieve fulfillment SLAs and system integrity.
Key Deliverables:
- Timely and complete dispatch of supply orders
- Zero discrepancies in physical vs. system inventory
- Accurate and real-time data entry of GRNs stock issues and returns
- High CSAT ratings from internal customers (branches labs)
- Full compliance with documentation and stock movement SOPs
Task & Activities:
Order Fulfillment & Delivery
- Receive and verify daily indents from Branches/ Labs in LIMS.
- Pick and pack items based on availability and required specifications (e.g. temperature-sensitive reagents).
- Coordinate with logistics/courier teams for same-day or next-day dispatches.
- Maintain daily dispatch registers with challan consignment and partner details.
- Track delivery completion status via calls or system updates and escalate delays.
- Follow up with receiving teams for delivery feedback and CSAT scoring.
Inventory Accuracy & Management
- Conduct weekly physical verification of stock against LIMS entries (location-wise).
- Report any mismatches in quantities expired products or misplaced items.
- Assist in cycle counts and monthly audits by preparing bin cards and pre-audit sheets.
- Implement FEFO practices for expiry-sensitive materials.
- Label racks/shelves with updated SKUs and batch details to reduce picking errors.
Data Management
- Record all inward entries (GRNs) against POs after quality and quantity verification.
- Post internal stock movement entries in LIMS for inter-branch or Laboratory transfers.
- Maintain inward/outward stock logs and ensure entries are backed by physical documents (GRN gate pass challan).
- Close open orders once delivery is completed and acknowledged.
- Prepare and submit daily data logs to the Manager for consolidation into MIS.

- 100% Orders Dispatched & Delivered On-Time
- > 4.8 CSAT Score from Branches/Users
- 100% Stock Audit Accuracy
- 100% GRN & Stock Entry Timeliness
- 100% Document Compliance
Role Requirements:
- 14 years of experience in supply chain / warehouse / inventory management preferably in healthcare pharma or FMCG
- Hands-on experience in order processing dispatch coordination and stock handling
- Working knowledge of LIMS / ERP systems for GRN stock entry and inventory tracking
- Strong attention to detail communication and time management skills
- Good understanding of inventory processes stock audits and SOP compliance
