Overview of Role
Our Infrastructure teams play a vital role in delivering a firstclass service to the business ensuring colleagues have the support systems and information they need to operate effectively. Team members work collaboratively to understand the requirements of internal stakeholders and provide efficient reliable and proactive operational support. To achieve this we adopt a partnershipdriven approach with responsibilities shared across specialist functions to ensure seamless delivery and strong alignment with organisational priorities.
We are looking for a proactive enthusiastic and experienced Team Assistant to provide comprehensive secretarial and administrative support to the Infrastructure Team Heads.
The Infrastructure teams are made up of specialists across a range of functions each contributing their expertise to support the wider organisation. The Team Assistant is an integral part of these teams helping to maintain efficiency continuity and highquality service delivery.
Responsibilities
- Liaising with internal teams external contacts and other Rothschild & Co offices
- Diary management organising meetings conference calls and managing clashes
- Dealing with expenses for all Team Heads
- Travel arrangements to include preparation of itineraries booking hotel and flights currency requirements etc.
- Dealing with telephone calls in a professional manner
- Attend regular catch ups with Team Heads to discuss diary travel and any upcoming priorities
- Proactively organise team building/socialising events
- Managing email inboxes on behalf of the team (when required)
- Keeping CPD records up-to-date (where required)
- Onboarding of new team members
- Dealing with all printing requirements ensuring accuracy at all times
- Ad-hoc additional projects as and when required
Experience Skills and Competencies Required
- Previous secretarial or administrative experience preferred
- Good IT skills to include Outlook PowerPoint Word and Excel
- Strong organisational skills ability to multi-task and maintain exceptional attention to detail even when working under pressure
- Excellent interpersonal skills able to communicate clearly and effectively at all levels
- Ability to anticipate and resolve issues in advance; e.g. conflicting meetings meetings running late
- Can do attitude and ability to approach all tasks with energy and enthusiasm
- Understands the need for discretion and displays the highest levels of professional integrity
- Enquiring mind and a desire to succeed
- Self-motivated efficient reliable
