Summary:
This role is responsible for overseeing three vital components of The Building Centers operations: Fleet Vehicles; Facilities and Equipment; and Workplace Safety. Directs plans organizes and manages the strategic and tactical operations of the Companys Fleet Safety and Maintenance Teams. Responsible for planning and directing the preventative maintenance and curative repair of the Companys fleet vehicles equipment and facilities. Manages personnel and directs contractors in the fields of architectural engineering electrical plumbing or mechanical maintenance operations of buildings and vehicles. This position will lead planning and maintaining of the Companys Facility Maintenance and Fleet Replacement programs.
Job Duties & Responsibilities:
FLEET:
- Develop implement maintain and review company policies and procedures related to the functionality safety and efficiency of The Building Centers fleet vehicles and drivers. Areas of responsibility include:
- Driver Hiring Process
- Driver Training
- Driver Qualification Files
- Driver Hours of Service Logs
- Unit Permits Files and Credentials (standard and IRP)
- Unit Maintenance and Repairs
- Fleet Fueling and IFTA
- Digital Vehicle Inspection Reports
- Vehicle-Based Electronic Equipment and Telemterics Systems
- Driver phones and apps
- Driver Drug and Alcohol Program including the FMCSA Drug and Alcohol Clearinghouse
- Federal State and Local government Reporting Requirements including but not limited to the Heavy Vehicle Use Tax (IRS Form 2290 Motor Carrier Identification Report (MCS-150) and the biennial DOT# re-registration.
- Provide FRP miles to Accounting
- Compliance with all other FMCSA DOT State DMV and vehicle-related OSHA rules and regulations
- Vehicle toll equipment programs and payments
- Motor vehicle accident investigation and reporting
- Perform the managerial and administrative duties necessary to efficiently carry out the current fleet policies and procedures of The Building Center. These duties include:
- Record fuel usage and prepare IFTA fuel tax returns
- Create and maintain Unit files
- Create and maintain Driver Qualification files
- Maintain data and records in the Keller Encompass and GPS Insight portals
- Establish and Coordinate unit maintenance and repair Vendor relationships agreements and policies.JD1
- Coordinate renewals for necessary vehicle credentials
- Coordinate renewals for necessary driver credentials
- Review Driver LogsJD2
- Purchase fuel and other fleet supplies
- Conduct appropriate training courses on fleet policies and procedures
- Manage fleet drug and alcohol testing program and maintain compliance with the FMCSA Drug and Alcohol Clearinghouse
- Administer the driver application process and coordinate with Human Resources and Location Managers to complete the necessary steps in the hiring process for new drivers
- Review approve and submit for payment every invoice for all fleet-related expenses
- Document and investigate accidents involving The Building Centers fleet vehicles and drivers
- Assist in preparing and presenting a yearly budget for new vehicle and equipment purchases
- Conduct annual driver meetings for each location
- Provide data and results for monthly Board meetings and quarterly incentive programs.
FACILITIES & EQUIPMENT MAINTENANCE:

- Perform administrative duties necessary to efficiently carry out the current facilities policies and procedures of The Building Center. These duties include:
- Conduct Monthly Inspections of buildings grounds and equipment at all Building Center locations
- Manage costs related to the maintenance and repair of all facilities and equipment
- Review approve and submit for payment every invoice for all facilities-related expensesJD5
- Manage maintenance department personnel and work assignments
- Management of waste and recycling servicesJD6
- Manage the creation and retention of records related to preventative maintenance and repair of production equipment and machinery
- Manage the creation and retention of records related to the repair and maintenance of The Building Centers facilities
- Manage and coordinate monthly fire extinguisher inspections at each facility
- Manage and coordinate all necessary inspections of the fire safety and suppression systems at each Building Center location
- Manage the purchasing organization and distribution of the supplies necessary for the safety and maintenance of The Building Center personnel and facilities
- Assist in preparing and presenting a yearly budget for new facility and equipment improvements

WORKPLACE SAFETY:
- Coordinate with insurance providers regarding vehicle insurance requirements workers compensation claims property damage and motor vehicle accident (MVA) reporting and resolution
- Participate in and support special projects including acquisitions facility improvements and other company initiatives as assigned
- Collaborate on cross-functional and executive-driven projects (e.g. operational enhancements equipment installations or other strategic initiatives)
- Attend and actively participate in Archway conferences and related events
- Partner with cross-functional teams across divisions including IT HR and other departments to support organizational goals and initiatives
- Inspect test and evaluate workplace environments equipment and practices to ensure that they follow safety standards and government regulations
- Design and implement workplace processes and procedures that help protect workers from hazardous work conditions
- Evaluate programs on workplace health and safety and communicate findings to Executives
- Document and investigate accidents involving The Building Centers facilities property and employees to identify what caused them and how they might be prevented
- Manage and conduct appropriate training programs on safety policies and procedures
- Maintain compliance with all safety regulations and stay updated with latest trends
Required Knowledge/Skills/Abilities:
- Customer service experience in a maintenance or production environment
- Significant experience using a computer (laptop and/or desktop) smartphone tablet the internet and applications and web services.
- Working knowledge in the following areas with some type of previous professional/educational experience:
- Preventative maintenance scheduling and execution
- Database creation data entry data interpretation
- Report creation and interpretation
- Decision making
- Face-to-face voice and on-line communications
- Negotiations skills
- Must have and be able to keep a NC/SC Class C drivers license
- Must have a professional demeanor and experience working and interacting with all levels of workforce from Drivers to Senior Company Leadership
- Experience in working with 3rd party vendors and contract creation and review
Preferred Knowledge/Skills/Abilities:
- People leadership experience in a maintenance or production environment
- Certifications and training in fleet management maintenance management operations
- Safety experience and certifications
- Experience with installation and maintenance of vehicle camera and GPS devices/systems
- JD8Experience with maintenance related administrative computer applications/systems (parts ordering and cataloging preventative maintenance and corrective repair tracking etc.)
Education/Experience
- Extensive knowledge of DOT and OSH rules and regulations
- Minimum 3 years of progressive responsibility managing in the transportation safety or industrial maintenance industries.
