Training Administration Specialist (12month FTC)

Job Summary
As a Training Administration Specialist (Record Clerk) within our Business Aviation Training team in Burgess Hill you will support our live training operations and maintain the integrity of client training records. Working closely with our administration team you will ensure all documentation training files and regulatory requirements are accurately produced controlled and accessible.
Key responsibilities include:
- Maintaining auditing and building client training folders according to customerspecific requirements.
- Ensuring compliance with aviation training regulations (EASA FAA UK CAA).
- Issuing course completion documents including diplomas proficiency cards training summaries and foreign client certificates.
- Running licensing checks and preparing all required training documentation.
- Setting up classrooms and preparing training files for upcoming courses.
- Distributing training documents as needed.
- Maintaining databases of companyspecific record requests.
- Auditing training folders for accuracy and completeness.
- Assisting clients with training records queries and requests.
- Invigilating EASA computerbased examinations as required.
- Updating Aircraft Publications weekly and ensuring availability in all required locations.
- Obtaining and distributing weekly Library updates.
- Supporting general administrative duties as needed.
Minimum Qualifications
- Proven experience in administration ideally within aviation or a regulatory training environment.
- Demonstrated ability to manage large sets of documentation and data.
- Strong organisational skills and ability to prioritise within a busy training schedule.
- Ability to manage multiple tasks simultaneously and respond quickly to ad hoc requirements.
- Good IT skills and proficient use of MS Excel and MS Word.
- Ability to work effectively in a fastpaced operational environment.
Preferred Qualifications
- Experience using electronic record systems
- Technical mindset and comfort working in an environment with live training operations and flight simulators.
- Strong teamwork communication and customerservice skills.
