Employment Term

This is a full-time permanent position. This position is primarily office-based and requires full-time on-site presence in our Edmonton office. This posting may be used to fill future vacancies.

The Role

The Registration Assistant/Receptionist is a dual position that supports both the Registration Department and front-line reception services reporting to the Registration Manager. This role is responsible for contributing to fair timely and defensible registration decisions while delivering professional accurate and responsive service to applicants registrants and the public.

The position administers assigned registration activities including reviewing application documentation supporting assessment processes and issuing practice permits in accordance with legislative requirements and organizational addition the role provides reception coverage and administrative support to ensure efficient office operations and positive client experience.

Key Responsibilities

  • Regulatory Registration Support - Administer assigned registration activities by reviewing applications assessing documentation and supporting decision-making processes in accordance with legislation policies and service standards. Maintain accurate and complete records in the registration database and provide timely professional communication to applicants and registrants. Support competence-related processes and provide administrative assistance to continuing competence activities as required.
  • Reception Services - Provide front-line reception support by responding to phone email and in-person inquiries directing requests appropriately and ensuring a professional and efficient customer service experience. Support visitor coordination and maintain reception procedures including providing coverage and guidance to other staff as required.
  • Office Administration - Support the day-to-day administrative operations of the office by coordinating mail couriers and deliveries maintaining office equipment and supplies and assisting with meeting logistics including room bookings and set-up. Liaise with building management and support general office coordination to ensure smooth operations.
  • Continuous Improvement and Reporting - Contribute to the review and improvement of application processes policies and communications to ensure clarity accuracy and alignment with regulatory requirements. Participate in team meetings training and special projects and assist with data collection and reporting to support operational planning and decision-making.

Skills & Abilities

This position requires strong communication and interpersonal skills with the ability to provide professional responsive and client-focused service to a wide range of interested parties and partners. The role demands a high level of organization and the ability to manage multiple priorities in a fast-paced environment while maintaining accuracy and attention to detail. Sound judgment and problem-solving skills are essential including the ability to interpret analyze and apply policies procedures and regulatory requirements.

The position also requires the ability to work both independently and collaboratively contributing to a positive and team-oriented environment. Our ideal candidate possesses a strong understanding of the principles of administrative justice and the ability to communicate complex information clearly. A proactive and adaptable approach is important particularly when managing sensitive or complex situations with professionalism and confidentiality. Proficiency in working with electronic systems and documentation processes along with a commitment to continuous improvement supports effective performance in this role.

Experience

  • Graduate of a recognized post-secondary program in business administration public administration or a related field.
  • Minimum of two years of experience in an administrative or customer service role. Equivalent combinations of education and experience may be considered.
  • Experience working within a regulatory or compliance-based environment is an asset.
  • Experience working with a database is considered an asset.
  • Intermediate to advanced computer skills including Microsoft Office.
  • Strong written and verbal English communication skills for conveying complex information in clear and accessible language.

Other Qualifications

  • Must speak read and write English fluently.
  • Satisfactory professional and criminal reference checks.
  • Must be eligible to work in Canada.
