Job Summary


We are are looking to hire a Transactions Team Lead. You will be responsible for supporting the performance consistency and continuous improvement of the brokerages transaction processing function. This is a player-coach role combining active transaction processing with leadership of day-to-day operations. The role is expected to operate within a 40-60% production and 40-60% operational leadership split ensuring the individual remains hands-on while also driving workflow efficiency quality control and process improvement. This role works closely with the Deals Team Managing Brokers Office Coordinators Agents and the Executive Leadership Team (ELT) to ensure transactions are processed accurately efficiently and in alignment with brokerage standards.

Position Impact
This role plays a key part in ensuring the stability consistency and ongoing improvement of the brokerages transaction operations. It directly impacts team efficiency agent experience and overall operational effectiveness.

Scope of Authority
Authority to support workload coordination and task prioritization across the team
Authority to identify and recommend process improvements
Responsibility to escalate operational or compliance risks to leadership
Input into team performance and development discussions


Core Responsibilities

Team Leadership & Coordination
Provide day-to-day guidance and operational leadership to a team of transaction coordinators (approx. 5 staff)
Support workload distribution and rebalancing to maintain efficiency and avoid bottlenecks
Offer ongoing coaching support and feedback to team members in their daily work
Identify training needs and support skill development across the team
Act as a first point of escalation for team questions and operational challenge
Provide input into hiring and performance discussions in collaboration with ELT

Transaction Production & Oversight
Actively manage a personal pipeline of transactions to maintain subject matter expertise and team credibility
Support the team during high-volume periods or absences as needed
Oversee transaction flow to ensure:
oTimely processing
oFile completeness
oConsistency in execution
Monitor daily workflow including:
oUnprocessed and pending files
oContinuity of deal flow
oBottlenecks and delays

Operational Excellence & Quality Control
Maintain oversight of file quality and consistency across the team
Identify recurring errors or inefficiencies and address root causes
Support the implementation of improved workflows and standards
Ensure alignment in how transactions are handled across team members

Process Improvement & System Readiness
Contribute to the evaluation and refinement of transaction processes and SOPs
Identify opportunities to improve efficiency reduce duplication and enhance service levels
Support preparation for system transitions (e.g. SkySlope)
Explore opportunities to leverage evolving technologies (including AI tools) to improve workflow

Compliance & Risk Awareness
Develop a working knowledge of applicable regulatory frameworks including:
oTRESA
oFINTRAC requirements
Support adherence to brokerage policies and compliance standards
Escalate compliance concerns or risks to Managing Brokers and ELT as appropriate
Act as a resource to the team for day-to-day compliance-related questions

Cross-Functional Collaboration
Work closely with agents staff and leadership to:
oResolve transaction issues and complexities
oReduce friction in deal processing
oEnsure clarity of expectations and requirements
Act as a key communication bridge between Deals front office and leadership
Support a collaborative solutions-oriented and service-focused environment

Prior experience working in a fast-paced evolving environment with competing priorities
Leadership potential with a desire to grow into broader operational or compliance responsibilities
Real estate transaction experience is an asset but not required

Compensation & Growth
This role is positioned as a growth opportunity within the organization.
The starting compensation is $29/hour with a formal review at 6 months based on performance. This review will be tied to clearly defined operational metrics including:
Reduction in transaction errors
Improvements in turnaround times
Team workflow effectiveness
There is a clear path for progression into more senior operational or compliance-focused responsibilities over time.
