TheAdmissions teamis an energetic and fast-paced environment where we rely heavily on current technologies to meet the demands of the Information School and our constituencies. Reporting to the Director of Admissions the Enrollment Advising Manager leads the prospective student advising team and supervises the Enrollment Advisors focused on the schools graduate degree programs. The Manager works closely with the Director of Admissions academic program teams and other staff to ensure the school is represented in an engaging and accurate manner throughout the recruitment process. The Manager is also responsible for collecting and reporting qualitative data about our programs recruitment process deepening our understanding of competitiveness in market alignment to students goals and prospective students general fit with each programs admission requirements. This feedback is used to inform and improve our website advertising efforts curriculum and program design among other program elements.

Position Complexities

The Information School Enrollment Advising Manager regularly exercises discretion and independent decision-making authority. This position represents the Information School and leads the strategy for and delivery of engagement with approximately 12000 prospective students a year.

The position requires the ability to work in a high-volume dynamic and sometimes stressful environment. The position involves quickly determining priorities while managing a number of activities and workstreams simultaneously. This position requires a flexible work schedule with occasional weekend and evening hours and the need to travel for student recruitment activities.

Duties & Responsibilities

Recruiting and Outreach for Academic Programs (35%)

  • Work with all Information School academic program teams to ensure information session presentations accurately and effectively communicate information about the program the admissions requirements and process.

  • Meet one-on-one with prospective students to discuss their goals and advise them on the Information Schools degree programs.

  • Lead the creation and review of template email communications and conversation scripts to applicants who have started applications encouraging them to connect with resources and complete their application.

  • Work with the Admissions Operations Manager to identify where applicants need application support to ensure that advising engagement helps support complete and high-quality applications.

  • Ensure prospective students are assigned to a lead Enrollment Advisor that is engaging with the person.

  • Set engagement expectations and goals communicate and monitor requests for information follow-up processes for the Enrollment Advising team ensuring timely and engaged messaging. Ensure all Enrollment Advisors meet engagement goals each programs.

  • Identify and use school news articles and other published materials to help Enrollment Advisors engage prospective students through emails and conversations.

  • Serve as the key escalation point person on the admissions team for all enrollment advising issues.

  • Advise prospective applicants on Information School academic programs disciplines and the application process refering to appropriate peer advisors or faculty for engagement as require. This communication is often done through meetings phone email or text.

  • Participate in recruiting and outreach in the community related conferences and organizations.

Team Training and Supervision (30%)

  • Hire onboard train and supervise a team of Enrollment Advisors who are collectively (along with the Manager) responsible for qualifying leads and supporting started/completed applications into Information School programs in alignment with the Schools admissions funnel.

  • Provide ongoing coaching mentorship and development opportunities to support employee growth; this includes creation of training materials and operational processes for the Enrollment Advisors.

  • Lead team meetings to communicate goals share updates encourage collaboration and share strategies to boost performance.

  • Oversee daily operations of the team by assigning tasks managing resources and resolving workflow issues.

  • Conduct regular audits of enrollment advising meetings to ensure accuracy and quality across the team. Ensure Enrollment Advisors have accurate information and communication templates for supporting various aspects of prospective student decision-making.

  • Monitor performance approve time and leave requests enforce iSchool and University policies and address issues through timely delivery of feedback and performance management or disciplinary action as needed.

Reporting Planning and Management (25%)

  • Identify areas where prospective students consistently have questions challenges or concerns; work with the Director of Admissions to identify strategies to address these areas.

  • In coordination with the Communications Team and the Content Marketing Manager identify topics where additional content is needed to support applicants and prospective students.

  • Work with the Content Marketing Manager to create and regularly review email messaging across the enrollment funnel.

  • In collaboration with the academic program teams Director of Admissions and Admissions Operations Manager plan the outreach calendar for the year ensuring activities are coordinated with key deadlines and processes.

  • Create regular reports for the academic programs on prospective student engagement including enrollment projection.

  • Contribute to annual Admissions strategic planning ensuring enrollment advising activities for the previous year are compiled and summarized at the school and program levels.

Other (10%)

  • Review applications for all Information School academic programs.

  • Interpret University and School policies and regulations to students faculty and staff pertaining to admissions.

  • Attend and participate in team committee workgroup iSchool and/or University meetings to contribute to effective communication and collaboration.

  • Participate in and support team iSchool and University events initiatives and activities as needed.

  • Engage in ongoing professional development opportunities to remain current on industry standards emerging trends and technological advancements.

Supervisory Responsibilities

Manage a small team of Enrollment Advisors setting expectations for service level across the unit and ensuring appropriate training and support.

Minimum Qualifications

  • A bachelors degree in Higher Education Administration Information Management or related field.

  • Minimum of 4 years experience in student counseling or teaching or equivalent education/experience with at least 1 year of experience supervising and training others.

Additional Required Qualifications

  • Experience in program planning and management preferably student services.

  • Must demonstrate excellent communication planning and information technology skills.

  • Demonstrated ability to lead others work independently and as part of a team.

  • Demonstrated ability to communicate and present well in writing verbally and via technology.

  • Demonstrated success in working with diverse populations.

Desired Qualifications

  • Familiarity with Slate.

  • Familiarity with video/web conferencing technology such as Zoom and Microsoft Teams.

  • Familiarity with the University of Washington and its academic community policies and processes including fee-based programs and Continuum College.

Working Conditions

  • This is a hybrid position with an expectation to work on-site at the UW Seattle campus at least two days per week; the remaining days may be worked remotely with supervisor approval.

  • Occasional schedule flexibility is required to support evening or weekend school/university events typically a few times per year. Advance notice will be provided when possible for any required schedule adjustments related to special events or programming needs.

  • Travel both nationally and internationally may be required through out the year.

  • Occasional evening and weekend hours will be required based on program scheduling.

  • Ability to lift packages of 20 lbs. when setting up events and moving materials.
