Job Summary
- Accredited Senior High School Diploma or valid equivalent (USA equivalency)
- Bachelors Degree from an accredited university preferred
- Five years or more related experience
- Excellent computer skills with knowledge of MS Windows MS Office Professional and FileMaker. Proficient in Oracle
- Ability to successfully complete assignments timely with minimum direction or supervision
- Coordinate and prioritize multiple projects and assignments
- Maintain accurate records prepare accurate and timely correspondence
- Problem solving/investigative skills to research and respond to inquiries
- Organizational communication and interpersonal skills required to achieve the goals of the position and to interact with all levels of district personnel and the public
Detail oriented Operations Coordinator with proven experience supporting daily business operations improving processes and ensuring compliance with organizational policies and procedures. Skilled in managing data systems coordinating workflow activities and producing accurate reports to support decision making. Recognized for strong organizational analytical and communication skills with the ability to collaborate across departments resolve issues efficiently and maintain high standards of accuracy and service. Bilingual in English and Spanish with the ability to effectively support diverse teams and stakeholders.
Support the implementation and improvement of operation processes and systems to enhance efficiency accuracy and consistency across the department
Perform routine audits and quality checks to ensure compliance with established procedures internal control and regulatory requirements
Maintain and manage digital records and documentation systems ensuring accuracy organization and timely updates across platforms (e.g. FileMaker and Oracle)
Prepare and distribute regular operational reports tracking workforce activity productivity and key metrics; assist in basic data analysis as needed
Assist in maintaining and updating departmental procedures manuals and guidelines to ensure alignment with current practices and policies
Ensure accurate data entry and coding practices following established processes and verifying information for completeness and correctness
Respond to internal inquiries and provide operational support to departments campuses and staff ensuring timely and professional resolution
Process workforce related transactions and updates including role changes transfers and record maintenance ensuring alignment across systems
Monitor daily operational activities including time reporting vendor coordination and task tracking to ensure deadlines and service expectations are met
Assist with budget tracking and compliance activities including basic variance review and adhere to organizational and regulator requirements
Occasionally required to lift or exert force of up to 25 pounds
Occasionally required to work prolonged and irregular hours
Travel throughout the district may be required
