Job Summary
The role will support delivery across the Spent Fuel Management (SFM) and Front End Enabling Delivery (FEED) portfolios within SMPrO as well as the overarching VS&C Programme where there is an increasing demand for engineering and project delivery scope
As workload continues to grow the Programme Manager Portfolio Managers and Contract Engineers are required to manage both delivery and a significant administrative and coordination burden . This includes governance activities resource management reporting and contractual support processes
This role is intended to provide dedicated administrative and coordination support to improve efficiency enable better control of actions resources and deadlines and allow delivery leads to focus on higher-value activities . The role will support multiple projects and workstreams ensuring consistent management of key processes and improving overall delivery performance
The Project / Portfolio Support Coordinator provides administrative coordination and delivery support across projects and portfolios enabling efficient management of workload governance and resource planning activities
The role supports the Programme Manager Portfolio Manager Contract Engineers and wider delivery team by managing key administrative processes coordinating meetings maintaining trackers and ensuring timely communication and follow-up of actions
The role is critical in reducing administrative burden on delivery leads improving data accuracy and enabling proactive management of workload resources and deadlines
Core Responsibilities
Meeting & Action Management
Capture actions from project review meetings
Capture track and proactively chase actions from resource meetings and other forums
Support preparation and coordination of meetings including agendas and follow-ups
Resource Coordination
Organise and schedule resource meetings with REs PEMs and AEMs
Maintain and operate the resource tracker during meetings
Update resource trackers monthly with actuals and new system users
Administrative & Governance Support
Produce manage and chase overtime forms and related approvals
Organise track and communicate upcoming deadlines deliverables and key milestones
Maintain accurate records logs and trackers to support governance and reporting
General Support
Provide general administrative and coordination support as required by the Programme Manager Portfolio Manager and Contract Engineers
Support continuous improvement of administrative processes and tracking methods
Act as a central coordination point to improve communication and efficiency across the team
Qualifications :
Experience in an administrative coordination or project support role within a delivery or operational environment
Experience organising and supporting meetings including capturing actions and tracking follow-ups
Experience managing trackers logs or structured data (e.g. resource trackers action trackers spreadsheets )
Experience coordinating inputs from multiple stakeholders and maintaining clear communication
Experience supporting planning scheduling or workload coordination activities
Strong organisational skills and ability to manage multiple competing priorities
Strong attention to detail and ability to ensure accuracy of data and records
Proactive approach to chasing actions and ensuring completion of tasks
Proficient in MS Office tools (Excel Outlook Teams Word PowerPoint )
Experience working within a project engineering or commercial delivery environment
Familiarity with resource planning time booking or cost tracking systems (e.g. Replicon or equivalent)
Experience supporting contract or commercial teams (e.g. awareness of governance approvals or reporting processes )
Experience supporting multiple projects or portfolios concurrently
Experience working in a regulated or structured governance environment
Desirable Qualifications
Project support or administration-related qualification (e.g. APM PFQ business admin qualification)
