Role description:
The Communications Specialist supports the execution of internal and external communication activities. This role focuses on content publishing campaign coordination reporting and administrative support to ensure smooth and consistent delivery of communications across platforms.
The primary purpose is to support the preparation publishing and coordination of communication outputs while maintaining accurate reporting documentation and operational processes that contribute to overall team efficiency.
Role accountabilities:
Content Generation
- Support the preparation and release of electronic direct mails (EDMs) and surveys for internal and external communication.
Presentation & Publishing
- Publish and update approved content on the intranet and administer SharePoint sites.
- Redesign and update PowerPoint presentations for reporting large team meetings and Community of Practice calls.
- Create and maintain updated email distribution lists.
Project Management and Communications
- Support the monitoring and coordination of tasks across internal and external campaigns.
- Assist Global and Regional Communications teams with reporting tasks as needed.
- Support the collection of performance data for internal communications.
- Compile and report issues in work processes to improve team efficiency.
Administrative Support
- Coordinate and schedule team meetings and events.
- Record and compile minutes of meetings and document team challenges and achievements.
- Schedule and conduct regular backups of work files and maintain archives in SharePoint.
- Support the implementation of team engagement activities.
- Provide additional administrative support as needed.
- Ensure compliance with company policies.
Qualifications & Experience:
- 23 years in corporate communications internal communications or content creation in professional services or infrastructure/environment sectors.
- Relevant degree in communications business or similar field is required
- Knowledge of design software such as Photoshop illustrator and InDesign is an advantage
- Has good understanding of layout and typography
- Innovative creative and has a keen attention to details
- Able to prioritize workload work well under pressure and deliver high-quality outputs within tight deadlines
- A team player who can build strong working relationships with different stakeholders
- Professional reliable self-motivated flexible highly organized personable enthusiastic punctual and with a positive attitude
- Willing to learn and develop
- Knowledgeable in the following:
- Internal Communications platforms such as: Email (Outlook) Campaign Master First Up Teams / SharePoint (Intermediate)
- Microsoft Office tools: Word Excel and PowerPoint (Advanced)
