Summary:
The Process Assistant plays a critical role in optimizing operational efficiency within the organization by supporting the design documentation and continuous improvement of business processes. This position is integral to ensuring alignment with industry best practices regulatory compliance and strategic business objectives. The ideal candidate will work closely with cross-functional teams to identify process gaps implement standardized workflows and leverage process improvement methodologies such as Lean Six Sigma or BPMN. By maintaining detailed process maps managing documentation and driving process automation initiatives the Process Assistant contributes directly to reducing operational costs improving service delivery and enhancing overall organizational performance. This role is essential for fostering a culture of continuous improvement and operational excellence across departments.
Responsibilities:
- Collaborate with department heads and process owners to map analyze and document current and future-state business processes using standardized tools (e.g. BPMN Visio Lucidchart).
- Identify inefficiencies bottlenecks and redundancies in existing workflows and recommend data-driven improvements.
- Support the implementation of process changes including change management activities training materials and user adoption strategies.
- Maintain and update process documentation including process flowcharts SOPs and metadata repositories.
- Partner with IT and business analysts to define requirements for process automation and digital transformation initiatives.
- Monitor key process performance indicators (KPIs) and generate regular reports on process health cycle times and compliance status.
- Facilitate process improvement workshops root cause analysis sessions and cross-functional review meetings.
- Ensure adherence to quality standards regulatory requirements and internal audit guidelines across all documented processes.
- Act as a liaison between operations compliance and technology teams to ensure seamless integration of process changes.
- Continuously update process knowledge base and contribute to enterprise process governance frameworks.
Requirements
Requirements:
- Bachelors degree in Business Administration Operations Management Industrial Engineering or a related field.
- 2 years of experience in process improvement business analysis operations support or a similar role.
- Proficiency in process modeling tools such as BPMN Microsoft Visio Lucidchart or similar.
- Strong understanding of Lean Six Sigma or other process optimization methodologies.
- Excellent written and verbal communication skills with the ability to translate complex processes into clear actionable documentation.
- Detail-oriented with strong organizational and time management skills.
- Experience with project management tools (e.g. Jira Asana Trello) and collaboration platforms (e.g. SharePoint Confluence).
- Familiarity with ERP systems (e.g. SAP Oracle) or workflow automation platforms (e.g. UiPath Workato) is a plus.
- Ability to work independently and as part of a team in a fast-paced dynamic environment.
- Must be able to adapt to evolving business needs and support continuous improvement initiatives.

Minimum of 5 years of experience as an Executive Coordinator Office Manager or similar role in a logistics transportation or supply chain environment. Proven track record of managing complex schedules high-level meetings and executive travel logistics. Advanced proficiency in Microsoft Office Suite (Word Excel PowerPoint Outlook) with experience in project management tools (e.g. Asana Trello MS Project). Strong understanding of logistics operations including freight management carrier coordination warehousing and last-mile delivery.
