Position Overview

We are seeking a highly organized and customer-focused Temporary Administrative Specialist to support daily front office operations. This role is critical in creating a welcoming professional environment while ensuring efficient communication between clients and internal staff. The ideal candidate thrives in a fast-paced setting demonstrates strong interpersonal skills and can effectively manage multiple priorities.

Key Responsibilities

Reception & Front Office Management

  • Greet clients and visitors in a professional and timely manner
  • Maintain a clean organized and welcoming reception area
  • Answer and route incoming calls to appropriate staff
  • Provide support to clients utilizing the computer lab as needed

Client Support & Education

  • Provide accurate information regarding available services
  • Guide clients through processes procedures and policies

Communication & Coordination

  • Maintain clear and consistent communication with internal staff regarding client needs and appointments
  • Notify clients of appointment updates changes or service-related information

Documentation & Compliance

  • Accurately document client interactions and appointment details
  • Ensure confidentiality and adherence to all documentation protocols

Scheduling & Client Interaction Coordination

  • Assist with appointment scheduling follow-ups and calendar coordination
  • Facilitate efficient information flow between clients and staff

Follow-Up & Inquiry Management

  • Respond to client inquiries in a timely and professional manner
  • Direct clients to appropriate departments or personnel
  • Send appointment reminders and follow-up communications

Qualifications

  • Prior experience in a front office administrative or customer service role preferred
  • Strong verbal and written communication skills
  • Excellent interpersonal and customer service abilities
  • Proficiency in Microsoft Office Suite and general office systems
  • Ability to multitask prioritize and remain organized in a fast-paced environment

Work Environment

This role operates in a high-traffic office environment with frequent interaction with clients and internal teams. Success in this position requires adaptability attention to detail and the ability to manage multiple responsibilities simultaneously.
