Position Overview
This position provides comprehensive executive Operations support and performs key Human Capital Management (HCM) functions including employee in and out-processing. The role demands a high degree of professionalism discretion and initiative to support senior leadership within a dynamic environment. The ideal candidate will manage complex schedules coordinate executive-level engagements and handle sensitive personnel data with the utmost confidentiality. This role requires frequent interaction with intra- and inter-organizational contacts customers and other stakeholders demanding excellent diplomacy and judgment to resolve conflicting needs.
Essential Duties and Responsibilities
- Operations Support:
- Provide primary Operations support to senior executives managing complex calendars scheduling appointments and resolving conflicts.
- Prepare and refine special presentations reports and official correspondence.
- Coordinate all logistics for special events high-level meetings and conferences including conference room setup and resource allocation.
- Manage all aspects of travel arrangements (domestic and international) and prepare detailed expense reports for reimbursement.
- Serve as a primary point of contact supporting communication between Executives customers and key organizational stakeholders.
- Human Capital Management & Processing:
- Lead and manage all administrative aspects of employee In-Processing including preparing welcome packages coordinating with security for clearance verification scheduling IT equipment issuance and ensuring all required day-one activities are completed.
- Lead and manage all administrative aspects of employee Out-Processing including coordinating final timekeeping managing exit checklists and ensuring the return of all government/company property.
- Collect track and disseminate sensitive HCM data reports and metrics in support of weekly monthly and quarterly organizational requirements.
- Assist in the discreet handling of sensitive internal data proprietary information and personnel-related matters. This position may be involved in meetings where management-only discussions occur requiring absolute discretion.
Qualifications & Requirements
- Must possess an active Secret security clearance.
- Proven experience performing complex administrative support duties for executive-level personnel requiring strong judgment and initiative to resolve problems and make recommendations under minimal supervision.
- Demonstrated experience with or direct familiarity in a Human Resources or Human Capital environment is strongly preferred.
- Exceptional interpersonal skills and the ability to exercise diplomacy and professionalism when interacting with all levels of personnel.
- Proficiency with the Microsoft Office Suite (Outlook Word Excel PowerPoint) and experience with travel and expense reporting systems.
- Must have an impeccable ability to handle confidential and sensitive information with discretion.
- Human Resources Service Database (HRSD) Experience highly recommended
