ABOUT YOU

  • Minimum Bachelors degree
  • 3-5 years of work experience with at least 2-3 years in an administrative/ reception management kind of role at a top tier multi-national company or a consulting firm
  • Experience managing multiple stakeholders and working with senior management members
  • Excellent written and verbal communication and interpersonal skills
  • Ability to multi-task and work independently
  • Superior organizational and time management skills
  • Deep knowledge of Microsoft Office (Word Excel PowerPoint)
  • Solution oriented and ability to creatively problem solve

ABOUT ROLE

As the Administrative Associate / Office Manager you will be expected to own full responsibility for all aspects of administrative operations within the organization ensuring tasks are completed efficiently and accurately. This role is responsible for executing a wide range of clerical and administrative duties maintaining organizational systems and supporting daily office functions. Additionally the Office Manager/ Administrative Associate coordinates responsibilities as directed by the Administration Manager acting as a key point of contact for internal teams and external stakeholders to facilitate smooth and effective business operations.

The Administrative Associate / Office Manager will be expected to ensure operational efficiency by managing administrative tasks coordinating key functions and supporting leadership.

The roles responsibilities include but are not restricted to:

  • Manage reception and front desk operations- This role requires in person attendance 5 days a week with some exceptions to work from home based on prior approval from HR and Administration Manager

Office Administration

  • Supervise Support Staff to ensure that office is managed well.
  • Manage the overall office infrastructure including general hygiene and cleanliness IT conference facilities office supplies food pantry etc.
  • Manage purchases for office stationery kitchen supplies and appliances.
  • Manage D-Café- Purchases menu items etc.
  • End-to-end vendor management including negotiating price contracting and payments.
  • Assist Administration Manager in planning and executing office retreats and events.
  • Manage inward and outward material and courier.
  • Support with logistics for team meetings workshops and conferences.
  • Document handling email management etc.
  • Organize and manage office-level events like farewell & happy hours.
  • Perform other duties as instructed by the Administration Manager.
  • Maintain employees attendance & leave records to maintain data accurately and provide reports as required by HR team.
  • Send Birthday Emails to staff in the absence of Administrative Coordinator.
  • Oversee the upkeep and maintenance of the corporate apartment including bookings ongoing maintenance and renovation as required.
  • Ensure Onboarding and Offboarding processes of the Admin checklist are completed in a timely manner
  • Travel and logistics: Manage travel including flights hotels visa requirements and local travel arrangements and billing.

Financial & Budget Support:

  • Maintain a track of monthly vendor payments accurately reviewing their bills/invoices and sending them to the finance team for timely processing and payment.
  • End-to-end management of petty cash
  • Expense management: Track expenses manage invoices and timely submission of utility bills to finance.
  • Using the corporate credit card for office-related expenses and submitting it on the expense reporting system.
