The purpose of this position is to keep the CEO operating in a state of ease and flow across all areas of life professional personal and family. This role exists to anticipate needs remove obstacles and create space for the CEO to focus on high-value priorities.
The Executive Assistant and Brand Specialist ensures seamless integration between home work and the CEOs other ventures managing scheduling logistics property coordination and special projects with discretion foresight and excellence.
Position Summary
The Executive Assistant and Brand Specialist is a polished proactive professional who serves as the CEOs right hand orchestrating her day-to-day operations with precision and care. This individual manages the CEOs full calendars and inboxes coordinates personal and household items maintains updates and creates brand assets for the business and ensures that all moving parts personal or professional stay aligned.
This role blends the skill of an executive-level assistant the discretion of a trusted personal manager creativity for brand execution and the calm of a concierge. The ideal candidate thrives in a fast-paced environment anticipates needs before they arise and takes pride in creating order balance and flow behind the scenes.
Position Accountabilities
1. Calendar Inboxes & Coordination (20%)
- Own and manage the CEOs full calendars and inboxes integrating business personal and family commitments.
- Proactively identify and resolve scheduling conflicts.
- Triage incoming messages flag priorities and draft responses when appropriate.
- Act as a liaison between the CEOs household business teams and external contacts to ensure smooth communication.
- Maintain strict confidentiality in all correspondence and communications.
2. Household & Lifestyle Management (20%)
- Manage personal errands household organization and wellness or appointment scheduling.
- Coordinate memberships reservations family travel and other personal logistics.
- Handle pet-related needs including scheduling vet visits grooming or dog sitting and care management.
- Maintain discretion professionalism and flexibility in supporting personal and family priorities.
3. Project & Team Support (20%)
- Support the CEO with special projects related to all her businesses and ventures.
- Manage and delegate tasks to contractors ensuring quality and consistency across workstreams.
- Track progress maintain documentation and support follow-through on deliverables.
4. Brand Support (20%)
- Support the CEO with maintaining all brand assets for consistency messaging and utilization.
- Create content for new innovations and ensure it matches and aligns with brand.
- Manage all contact files customer prospect and lead tables. Ensure information is up to date and optimized
- Social support engage and support all branding initiatives to drive awareness and leads.
5. Event & Experience Planning (20%)
- Plan and coordinate personal gatherings family celebrations and small-scale professional events.
- Oversee logistics guest coordination vendor management and event execution.
- Ensure each event reflects the CEOs style and preferences with seamless attention to detail.
Ideal Candidate Profile
- Proven experience supporting a senior executive entrepreneur or family office.
- Strong organizational project management and communication skills.
- Experience managing contractors vendors interns or virtual assistants.
- High emotional intelligence with the ability to anticipate needs and read situations intuitively.
- Tech-savvy and comfortable managing digital tools for scheduling communication and file organization.
- Poised discreet and service-oriented with excellent judgment and confidentiality.
