We are seeking a detail-oriented and reliable Full Charge Medical Bookkeeper to work in conjunction with our practice administrator to support our growing practice. This is a 1099 contractor position ideal for someone experienced in healthcare accounting QuickBooks and inventory tracking. The ideal candidate is organized proactive and comfortable working independently.
A Full-Charge Medical Bookkeeper is responsible for helping to manage day-to-day and strategic financial operations of a medical practice. This role oversees the complete accounting cycle ensures accuracy of financial records supports compliance requirements and manages both bookkeeping and inventory processes within a healthcare setting.
Key Responsibilities:
- Handle full-cycle accounting including general ledger maintenance journal entries and account reconciliations
- Manage accounts payable (AP) and accounts receivable (AR) including patient billing reconciliation and insurance payments
- Perform monthly quarterly and year-end closings
- Prepare financial statements including profit & loss balance sheets and cash flow reports
- Reconcile bank accounts credit cards and merchant services accounts
- Oversee payroll processing and coordination (or interface with payroll providers)
- Maintain and monitor cash flow budgets and expense tracking
- Manage medical inventory including tracking supplies usage and vendor orders
- Ensure proper documentation and organization for audits and tax preparation
- Coordinate with practice administratorCPAs tax preparers and external auditors
- Monitor compliance with healthcare financial regulations and internal policies
- Assist with process improvements and implementation of financial systems
Medical-Specific Duties:
- Reconcile practice management system reports with accounting records
- Track insurance reimbursements adjustments and write-offs
- Monitor patient balances and collections reporting
- Support credentialing-related financial tracking (if applicable)
- Ensure HIPAA-compliant handling of financial data
Qualifications:
- 35 years of full-charge bookkeeping experience (medical or healthcare preferred)
- Strong proficiency in QuickBooks Desktop
- Experience with medical billing systems and insurance processes
- Solid understanding of GAAP and accounting best practices
- Experience with inventory tracking and vendor management within QB
- High level of accuracy and attention to detail
- Strong organizational and time management skills
- Ability to work independently and handle confidential information
Preferred Skills:
- Experience in a private practice clinic or multi-provider setting
- Familiarity with EHR/EMR and practice management systems
- Knowledge of Paycor payroll systems and 1099/W-2 processing
- Advanced Excel skills
Work Environment:
- Remote but will require occasional in person work days
- May require periodic coordination with providers office staff and external partners
- Must have and maintain their own computer and necessary equipment- will will provide VPN access.
