Duties and responsibilities:

Deliver professional secretariat services to statutory and management committees including agenda compilation minute-taking and the timely distribution of meeting documentation to support effective and compliant governance processes.
Coordinate and manage all meeting logistics including venues catering and technical arrangements to ensure the seamless execution of meetings.
Facilitate effective meeting processes including round robins nomination and election procedures and the accurate flow of recommendations to relevant decision-making structures.
Maintain and update meeting management systems (e.g. SharePoint and Meeting Web) and ensure accurate secure record-keeping of all meeting documentation including sound recordings.
Monitor and coordinate committee memberships and contribute to the implementation of governance policies procedures and related correspondence.

Inherent Job Requirements:

A relevant bachelors degree or an advanced diploma/BTech degree/postgraduate certificate on NQF Level 7 or a three-year national diploma on NQF Level 6 (attach a copy).
Minimum of two (2) years proven relevant experience in meeting administration compiling agendas and taking minutes.
Demonstrated knowledge of meeting procedures.

Recommendations:

Relevant knowledge and experience in the Higher Education environment.
Proficient experience with MS -Office programmes.
Typing Skills.
