The Role Facilities Maintenance and Operations (FMO) is seeking a Capital Planning and Space Management Assistant for a casual employment term from April 27 2026 August 31 2026. Duties may include:

  1. Project Assistance
    1. Monitoring the daily progress of projects including tracking project costs
    2. Enter purchase requisitions for approval and track all project financials
    3. Organizing reports invoices contracts and other financial files for easy access
    4. Recording project team meeting minutes and action items
    5. Communication with external and internal stakeholders
  2. Capital Planning & Asset Coordination
    1. Communication with Departments on capital asset requests and procedures
    2. Preparation of documents and reports for Capital and Space Management Office
    3. Entry of approved budgets into the Evergreen Manager
    4. Assist with Facilities Capital Master Planning process
  3. Space Management
    1. Assist with functional space planning
    2. Review office allocation and space requests
    3. Coordinate approved furniture and equipment moves within departments as required
  4. Enterprise Risk Management
    1. Assist with risk assessments
    2. Follow up on risk mitigation action plans
    3. Provide administrative support to Manager Enterprise Risk and OH&S Risk Officer as needed
  5. Other Duties
    1. Other administrative duties as requested by the Capital and Space Management Office for the day-to-day operations of the FMO department
    2. Facilities Assistant duties and cover-off with the Admin of the FMO Director
    3. Travel to Fairview and Beaverlodge may be required

Hours for this role are Monday to Friday 8:30 AM 4:30 PM. Hourly rate is $22 per hour.

Requirements

Job Requirements The successful candidate will be a current post-secondary student with some related experience who will be returning to full-time studies in September. Necessary skills and attributes to be successful in this role include:

  • Knowledge in Microsoft Office applications such as Word Excel PowerPoint and Outlook;
  • Strong organizational and multi-tasking skills;
  • Excellent communication and interpersonal skills;
  • Excellent critical-thinking and problem-solving skills;
  • Ability to learn quickly and work in a fast-paced environment;
  • Ability to build strong relationships across the organization; and
  • A high level of integrity confidentiality professionalism and accountability.
