Position Overview
The Operations Coordinator plays a vital role in ensuring seamless day-to-day operations at Smith Performance Center. This position serves as the operational backbone of our facility coordinating schedules managing workflows and ensuring exceptional service delivery across all departments. The ideal candidate is highly organized detail-oriented and thrives in a dynamic fast-paced environment.
Key Responsibilities
Schedule Management & Optimization
- Own and optimize all scheduling systems including physical therapy strength training dietitian appointments administrative staff and gym operations
- Manage coverage needs cancellations and capacity planning across all service lines
- Step into front-desk duties as needed to ensure uninterrupted operations
- Coordinate facilities management tasks to ensure the center is well-maintained and operational
Operational Excellence
- Identify and resolve operational bottlenecks to maintain efficient patient and member flow
- Maintain current and accurate patient management lists
- Ensure all follow-up protocols are consistently executed
- Monitor and improve operational processes to enhance efficiency
Staff Support & Training
- Train front desk and support staff using established SPC scripts workflows and procedures
- Develop and maintain troubleshooting guides for common operational challenges
- Provide ongoing support to ensure staff confidence and competency
Facility & Vendor Coordination
- Oversee facility needs and coordinate maintenance requirements
- Manage vendor relationships and communications
- Build and implement systems for recurring operational tasks
Reporting & Cross-Functional Communication
- Deliver clear operational metrics and trend analysis to leadership
- Facilitate smooth communication between physical therapists coaches and administrative staff
- Ensure alignment across all departments for optimal patient and member experience
Requirements
- Perform all duties to the best of your skill ability experience and talents
- Comply with all SPC policies procedures rules and regulations (both written and oral)
- Implement and uphold the mission core values and critical actions of Smith Performance Center
- Conduct and/or attend all meetings appropriate to the position
- Adhere to SPCs policy prohibiting the sale of non-Smith Performance Center products or memberships to current members unless approved by the CEO

- Minimum 2 years experience in office management
