The Academic Affairs Coordinator provides comprehensive administrative and operational support for the Office of Academic Affairs. This position manages the daily operations of the front office and serves as a primary point of contact for faculty staff students and external constituents.
The Coordinator supports the Provost and Associate Provosts in ensuring the effective administration of academic programs and services. Responsibilities include processing purchase orders maintaining records coordinating academic scheduling processes assisting with assessment and reporting activities and supporting graduation and other academic events. This role requires strong organizational ability attention to detail professionalism and a service-oriented approach.
Manage the front office of Academic Affairs including greeting visitors answering and directing phone calls and responding to inquiries.
Provide administrative support to the Provost and Associate Provosts including calendar management correspondence document preparation and meeting coordination.
Process purchase orders invoices budget documentation and other financial paperwork in accordance with University procedures.
Assist with the development coordination and maintenance of the academic schedule; respond to schedule change requests and communicate updates as needed.
Coordinate with Advising and the Registrar to process non-participation lists and student drops each bi-term.
Coordinate the academic appointments and necessary files to onboard new faculty members.
Maintain up-to-date academic course schedules for all Academic Departments.
Maintain accurate departmental records files and documentation including academic reports and compliance materials.
Support assessment processes for assigned program areas including data collection and reporting.
Assist with graduation activities faculty meetings and special events sponsored by the Office of Academic Affairs.
Provide general guidance to faculty staff and students regarding academic policies procedures and deadlines.
Prepare reports and run data queries as requested.
Order office supplies and maintain inventory for the department.
Serve on committees or work groups as assigned.
Perform other job-related duties as assigned.
Strong interpersonal skills with the ability to relate effectively to faculty staff students and the community.
Excellent oral and written communication skills.
Strong organizational skills with the ability to manage multiple priorities and meet deadlines.
High level of accuracy and attention to detail.
Proficiency in Microsoft Office and other relevant administrative systems.
Ability to maintain confidentiality and exercise sound judgment.
Bachelors degree required.
Organizational and administrative experience preferred.
Understanding of college programs policies and procedures is desirable.
