Job Summary

Position Purpose:

The Project Coordinator GRIDs role in the Company is integral to the seamless operation of our Commercial Services/GRIDS Division focusing on serving the Companys Business Customers. This position demands a well-organized and detail-oriented professional to manage the accurate reception review and processing of project opportunities and documentation through our ERP and CRM systems while maintaining open lines of communication with internal sales teams operations and external contractors to ensure precision in project execution. The successful candidate will utilize exceptional organizational and communication skills to prepare customer quotes monitor project progress and deliver timely updates to stakeholders contributing to the outstanding service quality and business success that define the Company.


Key Responsibilities:

- Coordinate and process project opportunities by efficiently reviewing and managing incoming documents and information ensuring all critical details are captured to facilitate successful project execution across multiple teams.

- Input and maintain accurate project-related data within ERP CRM and other internal systems to optimize workflow efficiency and support real-time information access for all stakeholders.

- Prepare and deliver detailed and competitive customer quotes ensuring alignment with project scope and budgetary requirements while maintaining clear communication with internal and external partners.

- Foster and sustain continuous effective communication channels with internal operations sales teams and customers to enhance collaboration and information flow throughout the project lifecycle.

- Collaborate with cross-functional teams and contractors to streamline project processes address potential challenges and drive project milestones towards successful completion.

- Monitor and track project progress diligently providing timely updates and insights to relevant stakeholders to ensure alignment with project timelines and objectives.

- Leverage advanced technology and software proficiencies to enhance project coordination efficiency ensuring all systems and processes are fully aligned with organizational goals and standards.

Overview:
This role is instrumental in facilitating the seamless execution of project activities by effectively managing project documentation communication and coordination among internal and external stakeholders. The Project Coordinator GRIDs ensures the accuracy of project-related data and contributes to the efficient operation of the division.


Travel Requirements:

The Project Coordinator GRIDs may be required to travel occasionally to facilitate collaboration with internal operations sales teams and external contractors to ensure effective project execution and communication with travel frequency dependent on project needs.


Physical Requirements:

The Project Coordinator role in the Companys GRIDs division primarily involves performing job tasks in a standard office setting located remotely. The position requires the ability to engage in extended periods of sitting using a computer keyboard and mouse for data entry and document preparation as well as frequent communication via phone and email. Visual acuity to detail-oriented tasks and the capacity to conduct remote collaboration through video conferencing tools is essential. Occasional lifting of items such as documents and laptop computers with a maximum weight of approximately 10 pounds may be necessary. Working Conditions:

The Project Coordinator role for GRIDs within the Company offers a dynamic and supportive remote work environment. The position is structured around a traditional Monday through Friday 8:00 am to 5:00 pm schedule with potential flexibility to accommodate project demands ensuring a balance between productivity and personal commitments. As a pivotal contributor within the fast-paced deadline-driven realm of our Commercial Services/GRIDs Division you will engage in meticulous project management tasks that require precision and adaptability. This remote setup fosters ongoing digital collaboration necessitating proficient use of ERP CRM and other internal systems to maintain real-time communication and data accuracy. You will collaborate closely with internal teams and external contractors to drive projects to successful completion underscoring a robust commitment to meeting the Companys high standards of excellence and customer satisfaction.


Minimum Qualifications:

- Possess robust organizational skills and demonstrate exceptional attention to detail.
- Display technological proficiency with an aptitude for navigating various software systems.
- Exhibit exceptional written and verbal communication skills.
- Proven ability to collaborate effectively with both internal teams and external contractors.
- Previous experience in project coordination distribution estimating or material takeoffs is preferred but not obligatory.
- Demonstrated proficiency in Microsoft Office Suite and other pertinent software applications.
- Demonstrate a strong ability to monitor project progress and provide timely accurate updates to stakeholders.


Preferred Qualifications:

- Demonstrated experience in the construction supply building materials or landscaping industry providing insight into the unique demands and challenges of project coordination in these sectors.

- A proven track record of supporting multiple projects simultaneously underscoring an ability to manage competing priorities in a dynamic fast-paced work environment.

- Advanced proficiency in Enterprise Resource Planning (ERP) and Customer Relationship Management (CRM) software with the ability to quickly adapt to new technologies and systems.

- Familiarity with project management methodologies frameworks and tools such as Agile or Scrum to enhance project execution and efficiency.

- Excellent problem-solving skills with a proactive approach to identifying and mitigating potential project challenges before they impact timelines or deliverables.

- Strong analytical skills to interpret complex project data and provide actionable insights that drive project success and customer satisfaction.

- Experience in developing and managing project budgets ensuring projects remain within financial constraints while achieving desired outcomes.

- Ability to cultivate and maintain strong relationships with diverse stakeholders including vendors contractors and cross-functional teams to facilitate seamless project collaboration.

- Certification in project management (e.g. PMP CAPM) or a related field demonstrating a commitment to ongoing professional development and expertise in project coordination.


Minimum Education:

A Bachelors degree in Business Administration Project Management or a closely related field is required for the Project Coordinator position. Combined experience and education will be considered to satisfy this requirement.


Preferred Education:

Minimum Years Of Work Experience:

Prior experience in project coordination distribution estimating material takeoffs or a similar role is preferred.


Certifications:

1. Project Management Professional (PMP) certification is preferred and will be considered a distinguishing asset.
2. Certified Associate in Project Management (CAPM) is preferred for individuals seeking to enhance foundational project coordination skills.
3. Microsoft Office Specialist (MOS) Certification showcasing proficiency in Microsoft Office applications is a plus.
