JOB SUMMARY
This position provides office and secretarial support to the curriculum instruction and assessment department. Responsibilities include assisting the director/program administrator with test preparation reports for the director/program administrator and committees; monitoring multiple program budgets purchasing curriculum including digital materials maintaining files and performing a variety of other secretarial duties. The position promotes positive public relations for the district.
DUTIES AND RESPONSIBILITIES:
- Supports district assessment coordinator:
- provide secure storage area for assessment workbooks
- input student assessment scores and milestones into Skyward
- manage out-of-district state assessment contracts for students residing in ASD boundaries
- audit state assessment documentation for auditing purposes and
- purchase GED testing material
- Advancement Via Individual Determination (AVID):
- coordinate and arrange professional development
- purchase AVID contracts supplies and materials
- Collect and file data needed to complete yearly Basic Education Compliance Report
- Maintain and track budgets using computer software
- Manage maintain and monitor the buildings Google Calendar
- Create understand and edit provider contracts
- Purchase process ship and maintain inventory
- Coordinate and arrange grades 4 6 Grays Harbor Community Foundation Funded Cultural Field Trips
- Coordinate and arrange all aspects of First Aid/CPR training for district staff
- Assist with planning required documentation and communication for HIV/AIDS & Sexual Health required family night
- Process in-district student choice requests and enter in Skyward
- Coordinate and collect all necessary materials for the Instructional Materials Committee
- Provide necessary documentation and assist in the coordination of professional development
- Distributes collects and ensures payroll is completed each month and verifies correct coding is entered
- Understands and follows bidding/quote processes and creates purchases orders
- Reconciles using the district process any procurement purchases in a timely manner monthly
- Able to transfer and adapt from Skyward to the newly updated Skyward Qmlativ platform
- Monitor the Stewart Building security and notify the appropriate administrator if there is a security issue.
- Create maintenance requests for building needs
- Monitor and manage the surplus area in the warehouse; have current inventory and ensure surplussed materials are removed
- Arrange and coordinate out-of-district professional development conferences
- Establish and manage beginning of the year and new staff required online training and provide completion updates to district leadership
- Must be able to lift 30 lbs. supply storage area with enough curriculum toprovide additional student workbooks as needed throughout the year. Requires occasional lifting over your head to remove items from storage shelves bending etc.
- Knowledge of Google Docs Google Sheets Google Calendar Google Translate MS Word MS Excel and an ability to adapt to other online platforms.
- Create add and disable staff to Google Accounts and network accounts using Human Resources provided information
- Add edit and maintain Google groups and network profiles as requested and verified by the personnel report
- Assist with MDM Apple apps purchases
- Track and maintain information and data relevant to curriculum programs and technology systems as applicable
- Track and maintain records related to assigned technology devices and systems to staff users
- Track and maintain records related to technology purchases in support of curriculum use and access
- Assist with other general technology related record keeping documentation communications for the purpose of technology acquisition review use etc.
- Assist with other related special projects as assigned
EDUCATION/EXPERIENCE:
- High school diploma or equivalent.
- Five years of increasingly responsible clerical and secretarial experience required.
- Alternative combinations of advanced training and experience may be substituted.
MINIMUM QUALIFICATIONS: Knowledge Skills and Abilities:
- Knowledge and ability in general office management telephone and clerical practices and procedures.
- Strong skills in language grammar and mathematics.
- Ability to use and stay current with standard office technology including office machines computers and software programs. Keyboarding editing data entry and formatting skills.
- Ability to add subtract multiply and divide using whole numbers common fractions and decimals. Ability to compute ratio and percent and to interpret graphs.
- Ability to set up and maintain accurate electronic and hard copy filing systems.
- Ability to organize prioritize tasks manage time effectively and meet deadlines with strong attention to detail.
- Ability to manage multiple tasks adapt to changing priorities work effectively under pressure and frequent interruptions.
- Remain objective fair and open minded.
- Maintain a high level of confidentiality.
- Strong interpersonal listening and communication skills both oral and written including the ability to write reports and correspondence.
- Ability to build and maintain positive working relationships with students staff families and the public.
- Ability to work both independently with minimal supervision and collaboratively in a team environment.
- Ability to read and interpret documents such as safety rules operating and maintenance instructions and procedure manuals.
- Ability to apply common sense understanding and problem-solving skills to carry out instructions in written oral or diagram form.
- Ability to perform duties with awareness of all district requirements and board of education procedures.
- Knowledge of general bookkeeping procedures; ability to set up and maintain accounting spreadsheets.
LICENSES/SPECIAL REQUIREMENTS:
- Employment contingent upon Washington State Patrol and FBI clearance and the payment of any applicable fees.
