Purpose Statement
The job of Data & Assessment Coach is done for the purpose of supporting the
assessment data management and enrollment process. This role serves as the
primary architect for student data integrity and assessment logistics providing critical
analytic support to drive institutional research enrollment management and school
improvement. Key responsibilities include coordinating various assessment activities
ensuring accurate data recording performing ad-hoc processes and facilitating state
reporting to ensure the district meets compliance standards while supporting educators
in improving student outcomes.
Essential Functions
Collaborates with a variety of internal and external parties (e.g. teachers
counselors administrators state and/or federal agencies etc.) to ensure project
success and alignment between the Student Information System (SIS) and
instructional platforms.
Coordinates testing mandated by the state and national bodies (e.g. KAP
KELPA DLM WIDA PSAT SAT ACT) including planning scheduling and
execution.
Develops and prepares a wide variety of materials (e.g. instructions notices
technical standards security policies training materials data uploads etc.) to
document activities and convey information.
Executes weekly demographic uploads to state databases for ID assignments
and ensures the accuracy of student online registration data.
Instructs and trains staff in test administration and district-wide test security to
ensure proper protocols and compliance with district state and federal policies.
Manages the KITE online platform including student rostering interim/practice
test setup and troubleshooting.
Maintains confidential and non-confidential records ensuring all testing
accommodations are accurately documented and uploaded.
Participates in meetings workshops and trainings acting as the primary point of
contact for regional testing representatives and the Kansas Department of
Education (KSDE).
Responds to inquiries from various sources to provide technical assistance
advice and support.
Implements rigorous data entry protocols to promote high-level data quality
across all district platforms.
Performs other related duties as assigned for the purpose of ensuring the
efficient and effective functioning of administrative services.
Build data and assessment literacy across various stakeholder groups by designing and
delivering ongoing professional learning that develops a shared understanding of:
High-quality assessment design (validity alignment rigor)
Balanced assessment systems (formative vs. summative use)
How to interpret and respond to student data effectively
Coach leaders to use data for instructional decision-making by partnering directly with
principals and instructional coaches to:
Use data dashboards and various data points to identify trends
Align data findings to school improvement goals and professional learning
Plan and monitor targeted instructional responses (PLC focus interventions PD)
Support strategic planning and school improvement processes: School improvement
KESA Ci3T collaborating with Teaching & Learning staff.
Train building level assessment coordinators on various assessment systems.
Performs other related duties as assigned for the purpose of ensuring the
efficient and effective functioning of administrative services.
Job Requirements: Minimum Qualifications
Knowledge Skills and Abilities
KNOWLEDGE is required to perform algebra and/or geometry; read technical
information and analyze situations to define issues and draw conclusions.
Specific knowledge includes relational databases (SQL or Microsoft Access
preferred) record structures and pertinent codes policies and regulations.
Demonstrates instructional expertise in Professional Learning Communities
(PLCs) and data cycles supporting school leaders and teacher teams in the
strategic use of data to improve outcomes.
SKILLS are required to perform multiple technical tasks including operating
standard office equipment planning and managing projects meeting deadlines
and utilizing pertinent software applications such as advanced Microsoft Excel
and/or Google Sheets.
ABILITY is required to schedule a significant number of activities; gather collate
and classify data; and translate complex datasets into clear reports for non-
technical stakeholders. Flexibility is required to work with others in a wide variety
of circumstances and adapt to changing priorities.
Responsibility
Responsibilities include working under limited supervision using standardized practices;
leading guiding and coordinating others; and operating within a defined budget.
Working Environment
The job requires approximately 75% sitting 15% walking and 10% standing. Physical
demands include some lifting carrying pushing and significant fine finger dexterity.
Experience: Job-related experience as an instructional coach or a teacher
working with data analysis for schools or in a specialized field in
computer science and information management.
Education: Bachelors degree in a job-related area (Instructional Coach with a
focus on data analysis Information Systems preferred).
