The Workforce Specialist role is responsible for understanding and performing general duties to support staffing and matrix management across the organization and for processing reconciling and ensuring the accuracy of payroll transactions while maintaining compliance with federal state and local regulations. This role requires proficiency with automated payroll and timekeeping systems HRIS systems Microsoft excel SharePoint and Power Bi. The Workforce Specialist collaborates with all functions across the organization to support hiring staffing scheduling and timekeeping.
Essential Duties/Responsibilities
Resource Management and Matrix Management
- Review and approval of position requests (backfill and new) to ensure compliance with contracted matrixed staffing requirements
- Ability to assist in supporting matrix management activities including documentation of modifications across all supporting systems including manual excel documents Power Bi and Paycom.
Payroll Processing & Accounting
- Process multi-state payroll transactions accurately and timely using Paycom software.
- Ensure payroll compliance with company policies wage laws and tax regulations.
- Reconcile payroll data with the general ledger and financial reports.
- Validate timekeeping deductions benefits and earnings for accuracy before payroll submission.
- Manage payroll adjustments retroactive payments and off-cycle payrolls.
Financial Reconciliation & Reporting
- Prepare payroll journal entries and reconcile payroll-related accounts.
- Generate and analyze payroll reports for Finance HR and leadership.
- Identify workforce trends and recommend areas for labor cost optimization.
Paycom System Management & Optimization
- Utilize Paycom software to manage payroll tax filings and reporting.
- Understand the Paycom position management infrastructure in order to accurately build reports and maintain alignment with staffing matrix vacancy and staffing penalty reporting.
- Understand the Paycom scheduler and the data flow to timekeeping and worked hour reporting
- Stay updated on Paycom enhancements and implement best practices for efficiency.
- Support payroll system integrations with HR and accounting platforms.

- Effective Time Management: Demonstrate strong organizational and prioritization skills ensuring adequate time tis dedicated to each task for accuracy and efficiency.
- Attention to Detail & Accuracy: Ensures payroll transactions are error-free and fully reconciled. Demonstrates strong organizational skills in managing multiple deadlines. Reviews payroll reports carefully to prevent discrepancies and compliance risks.
- Stress Tolerance: Capable of handling stressful or adverse situations and working effectively under difficult conditions. Maintains composure under pressure and manages high-stress situations with ease. Remains focused despite distractions and interruptions.
Qualifications- Bachelors degree in Accounting Finance Business Administration or a related field preferred.
- Experience with payroll accounting
- Familiarity with SharePoint and Power Bi or similar reporting software such as Tableau
- Strong experience with payroll software (processing reporting and tax compliance) Paycom preferred.
- Experience working with general ledger payroll accounting.
- Strong analytical and problem-solving abilities.
- Excellent attention to detail and accuracy in payroll calculations.
- Proficiency in Microsoft Office applications especially Excel (VLOOKUP pivot tables and financial analysis).
- Ability to manage multiple tasks and meet strict deadlines.
- High level of integrity and discretion in handling confidential payroll data.
