Your Mission:
Patient and Clinic Support Daily
- Answer phone calls respond to emails and monitor chats.
- Assist in locating and scheduling patient appointments.
- Prepare and maintain patient charts including scanning uploading filing and adding
photocopied health cards. - Unpack pharmacy deliveries verify contents against the Chain of Receipt (COR) place
medications on ice packs and have deliveries double-checked by nursing staff. - Confirm that all required medications for the following week have been received.
- Prepare patient rooms by cleaning equipment restocking supplies and setting up materials as
indicated by the nursing team. - Confirm all faxes have been successfully sent (for part-time roles: check Mondays and Fridays).
- Complete Adverse Event (AE) documentation as required.
- Complete incident reports related to service complaints or issues.
Operational and Administrative Support Weekly
- Submit supply orders to maintain adequate inventory.
- Complete reconciliation reports to support clinic tracking and reporting processes.
- Coordinate and book box returns as needed.
- Assemble patient supply kits for the upcoming week.
- Review and monitor patients who are currently on hold.
- Complete required Learning Management System (LMS) training modules.
- Review day-close logs for completion (for part-time roles: check Mondays and Fridays).
Records and Equipment Management Monthly or As Needed
- Thin charts and process chart returns for archival.
- Coordinate drug returns in accordance with clinic procedures.
- Maintain track clean and manage clinic equipment using the designated portal.
- File new patient orders promptly and update patient profiles and calendars to reflect changes
(e.g. therapeutic drug monitoring requests). - Obtain medical clarifications from prescribing providers or relevant contacts as needed.
What You Bring to the Table:
- Education: Post-secondary diploma in Medical Office Administration or equivalent experience.
- Experience: Previous experience in a medical or clinical setting preferred.
- Skills:
- Strong organizational communication and time management skills.
- Ability to handle sensitive information with confidentiality.
- Proficient with Microsoft Office electronic medical records (EMR) faxing systems and
multi-line phone systems. - English proficiency is required for this position to effectively communicate with internal and
external stakeholders. - Bilingualism (French and English) may be required depending on the specific role location
and the needs of the organization.
Compensation: At BioScript your base pay is one part of your total compensation package and is determined within a range. Our pay ranges are based on the local cost of labor benchmarks for each specific role level and geographic location.
