Administrative Specialist Elkhart IN


This opening with our clients sales and distribution office is a full-time position with hours of 8:30am to 5:00pm Monday through Friday. This opportunity is intended to be filled on a temp-to-hire basis offering the chance to join a small business team where you can take ownership of a variety of responsibilities and grow into the role.


The position is designed for someone with a strong administrative background who enjoys being involved in the day-to-day flow of business operations. Youll play a key role in supporting sales functions maintaining accurate records and ensuring smooth coordination between departments.


Job Duties:

  • Managing sales order entry confirmations and order tracking

  • Preparing billing and invoicing documentation

  • Handling accounts receivable activities and monitoring outstanding balances

  • Maintaining and updating customer records within company systems

  • Coordinating with sales warehouse logistics and finance teams to support order fulfillment and resolve issues

  • Generating reports to support business operations

  • Ensuring accuracy and compliance with company policies and procedures

Its a match for someone who brings previous administrative experience and has an interest or background in supply chain accounting or a related field. This role is ideal for someone who enjoys working with numbers systems and processes while also supporting customer relationships and internal teams. Experience with NetSuite or a similar ERP system is strongly preferred along with advanced comfort in Microsoft Excel and the ability to work within Mac-based systems.


Requirements:

  • Strong computer proficiency including Microsoft Excel and business systems

  • Experience with ERP systems such as NetSuite or similar preferred

  • Ability to manage multiple tasks with accuracy and attention to detail

  • Strong communication skills and ability to work across departments

  • Ability to understand and communicate (talk-read-hear) work instructions

  • Specific vision abilities required by this job include close vision peripheral vision depth perception and the ability to adjust and focus
