About this role

As an Executive Assistant or Personal Assistant in the Financial Advisory Team you will play a key role in the effective day-to-day operations of the team and provide intuitive support displaying a high level of initiative multi-tasking and adapting quickly to last-minute change. You will proactively anticipate the needs of your stakeholders before and as they arise.

Please note that this is a maximum term contract opportunity ending mid October 2026.

Key responsibilities

  • Provide highlevel administrative support to three Partners/Principals and the broader Financial Advisory Team
  • Complete client onboarding through Salesforce
  • Manage inboxes calendars scheduling and meeting coordination
  • Arrange domestic travel accommodation and itineraries as required
  • Process Partner expenses in Concur
  • Organise internal meetings and assist in organising client/referrer and team events
  • Prepare and finalise client documents letters and proposal materials
  • Manage and maintain databases and systems including regular updates in Salesforce CRM
  • Assist with Business Development including proposal preparation contact mapping and tracking of business development activities
  • Support monthly billing processes
  • Provide general administrative and ad hoc support as required

Skills and experience

The ideal candidate will exhibit agility and responsiveness thriving in a dynamic and demanding environment. This role is ideal for individuals with a background in professional services who can effectively demonstrate the following skills experience and attributes:

  • Previous experience as an Executive Assistant or Personal Assistant within a corporate or professional services environment
  • Strong written and verbal communication skills with a positive approach to teamwork and the ability to collaborate with and manage expectations of stakeholders at all levels
  • Highly organised with the ability to multitask and work effectively under pressure
  • High degree of accuracy and attention to detail.
  • Ability to learn new systems quickly.
  • Proficiency in Microsoft Office applications including Outlook PowerPoint Teams and Word
