TheOperations Managerprovides comprehensive oversight of IMA operations including Member Services equipment checkout and overall facility management. This roleis responsible foraccess control policy development and enforcement operational implementation and budget oversight to ensure efficient and effective service delivery.
Working under the general direction of the Assistant Director for Operations the Operations Manager is committed to deliveringa high-quality experience for all facility users. The position also serves as a Building Coordinator and Evacuation Warden leading the execution of emergency response procedures and supporting a safe facility environment.
The standard work schedule is late mornings to early evenings Monday through Friday. However flexibility isrequired as early mornings late evenings weekends and holidays may be necessary based on operational needs.
RESPONSIBILITIES:

Personnel Management
Recruit hire train supervise schedule and evaluate approximately 50 part-time student and temporary operations staff.
Develop implement and maintain comprehensive training programs shift expectations and standard operating procedures to ensure consistent service delivery.
Monitor daily staffing levels and adjust coverage to meet operational demands and maintain service standards.
Ensure compliance with University-required trainings and area-specific certifications; track and maintain accurate training records.
Review approve and reconcile semi-monthly payroll in Workday for central operations student and temporary staff.
Manage employee schedules and assignments in alignment with University employment policies and operational requirements.
Operations Management
Oversee daily IMA front desk operations equipment checkout services and general facility operations to ensure a safe efficient and customer-focused environment.
Manage procurement inventory and lifecycle oversight of all equipment issued through the main checkout area.
Audit and verify payroll deduction forms in Workday and Fusion; maintain payroll deduction records and coordinate timely submissions to the payroll office.
Oversee operational support areas including lost and found Musco lighting schedules donation coordination and laundry services.
Maintain and troubleshoot operational software systems; coordinate with IT staff and external vendors to resolve technical issues.
Manage inventory control cash handling procedures key access and operational supplies in accordance with University policies.
Address routine customer service concerns and provide staff guidance in resolving complex or escalated situations.
Implement and lead first aid and emergency response procedures as the IMA Building Evacuation Warden.
Enforce risk management practices in alignment with Rec policies; monitor completion and accuracy of facility inspection logs and reports.
Serve as Building Coordinator for the IMA building fields and courts.
Provide direct customer service support as needed including processing transactions overseeing opening and closing procedures enforcing facility policies and exercising independent judgment in conflict resolution.
Administration & General Responsibilities
Develop manage and monitor the Central Operations budget; track expenditures and ensure responsible allocation of resources.
Prepare and analyze monthly and annual reports including facility usage membership data and inspection documentation.
Document incidents operational trends and emerging challenges; communicate findings and recommendations to the Assistant Director.
Assist with annual central operations budget planning as needed.
Serve on departmental and University committees when assigned.
Collaborate with Recreation staff to deliver comprehensive programs and services that meet the diverse needs of students and the University community.
MINIMUM QUALIFIATIONS:
Bachelors Degree
Two yearsof full-time workexperience inprogram or recreation administration including experience supervising managing or mentoring students or staff.
Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements such as a license/certification/registration.
ADDITIONAL QUALIFICATIONS:
Mustmaintaincurrent First Aid/CPR/AED certification.
Possess interpersonal skills to work effectively with a diverse group of students faculty staff and colleagues.
Strong communication organizational and leadership/management skills.
Demonstrated ability to provide positive and effective customer service.
PREFERRED:
Ability and experience in usingrecreation basedsoftware and UW software programs ( Sling Workday SharePointIMLeaguesMaintenanceCare WordPress etc.).
