The Sales Support Specialist for North America plays a critical role in ensuring the seamless execution of sales operations financial processes and project administration across O&M activities and aftermarket sales functions. This position is responsible for transforming complex technical requirements into accurate compliant proposals while coordinating with cross-functional teams to support overall sales success.
Additionally the Sales Support Specialist maintains C4C data accuracy supports site mobilization activities participates in financial review meetings and ensures all new order processing and the quotation processes meet company requirements. This role will collaborate with project managers site managers sales teams and controllers to strengthen operational efficiency and enhance customer experience.
Key Responsibilities:
O&M Retrofit Upgrade Modernization and Improvement Sales Proposals:
- Review draft and compile and ensure compliance with RFP coordinate with stakeholders and submit to the client.
Change Orders:
- Draft review submit and book change orders and invoice the client.
Process Invoices:
- Ensure all O&M projects are timely invoiced
- Train site administrators on invoicing for their sites
- Assist project managers on invoicing
- Ensure invoicing for projects without a Project Manager
- Track payments received
- Follow up on past due payments with clients
Site Mobilization:
- Assist with mobilization placing orders and any additional support for the site manager
- Collaborate with accounts receivables team to set up site specific invoicing process per client specifications
- Train the new administrator
C4C Administration:
- Train sales managers on entering new opportunities and monitor quality of data
- Report on sales pipeline
- Attend internal sales meetings
Project Finances:
- Attend monthly site financial review meetings and work with controllers to address any discrepancies
Administration of New Orders:
- Collect and provide information to Customer Support (CS) sales managers when booking new projects
- Ensure information entered is accurate and company requirements are met
- Request purchase orders and help the PM with invoicing requirements
B1 Finance:
- Track CS invoices payments and purchase orders
- Lead the CS sales team though the transition
- Function as the point person with the CS business team
Compensation range: $80000 - $85000 Annually
The posted salary range reflects the compensation the company reasonably expects to offer for this position. Actual compensation will not be less than the posted minimum and will be based on multiple factors.
Qualifications :
- Associates or Bachelors degree in Business Administration Finance Supply Chain or a related field
- 5-7 years of experience in sales support project administration or invoicing
- Experience in project invoicing order management and financial administration is an asset
- High motivation initiative and ability to drive tasks to completion
- Strong team player with the ability to work effectively across cross-functional teams
- High computer literacy in MS Office Suite including proficiency in Excel-based tracking and reporting
- Experience working with CRM tools (preferably C4C) and financial systems such as B1
- Ability to travel between 10-15% based on business needs
