Role:
- Represent the Mortgage Loan Department by assisting borrowers identifying needs providing information and directing borrowers to appropriate mortgage service providers. Organize and direct the flow of work throughout the mortgage department.
Essential Functions & Responsibilities:
- Manage the flow of files within the office. Order third party services and deducts appraisal fees from members account. Assign files to processors underwriters originators and assign file status. Resolve administrative problems in the work flow through preparation of reports analyzing data and identifying solutions to improve the process flow.
- Answers the phone assists members with mortgage information and schedules appointments. Confirms appointments and advises borrowers on documentation requirements for the mortgage appointment. Monitor assign and track online applications and branch referrals.
- Maintains assigned records files and reports. Handle all incoming mail and UPS & DHL outgoing shipments. Perform assigned administrative responsibilities.
- Assists the home equity department with home equity closings by meeting with members in the branch to facilitate the signing of closing documents. This requires notary certification.
- Responsible for uploading and sending out daily mortgage and MLO rate sheet while also serving as back up for rate locks on loan applications.
- Scanning and uploading closing packages to the respective Virtual Loan Folder and archiving each file once all final docs have been recorded and received.
- Ensure compliance with all regulatory programs including but not limited to the Bank Secrecy Act Office of Foreign Asset Control Program and Customer Identification Program. Assist other department personnel and performs other duties as assigned. Remote employees must adhere to their agreed-upon work schedule from a secure location participating in virtual meetings video conferences/other communications and maintaining regular responsive communication during working hours.
Performance Measurements:
- Assist all visitors either personally electronically or by telephone in a courteous friendly timely and professional manner and directs them to the appropriate party if needed.
- Orders third party services for all loans and manages the flow of files within required timeframes.
- Completes all required annual training including Internal Compliance BSA/AML training with a passing grade of 80% or higher.
- Maintain organize and prioritize and a demanding workload.
- Completes required Customer Identification and Red Flags Program requirements to include documentation of discrepancy as needed.

Requirements
Experience:
- One year to three years of similar or related experience.
Education:
- A high school education or GED.
Interpersonal Skills:
- Work involves much personal contact with others inside and/or outside the organization for the purpose of first-level conflict resolution building relationships and soliciting cooperation. Discussions involve a higher degree of confidentiality and discretion requiring diplomacy and tact in communication.
Other Skills:
- Ability to type use computer and general office equipment including 10-key calculator. Require basic to intermediate knowledge of Microsoft Windows Word Outlook and Excel. Require the ability to use a multi-line phone system with strong friendly voice and good diction. Basic knowledge of mortgage and credit union products and services.
Physical Requirements:
- While performing the duties of this job the employee is regularly required to use hands and is required to talk and hear. The employee is frequently required to stand sit and walk occasionally for long periods at a time. The employee may occasionally be required to reach with hands and arms and move objects up to 20 pounds. Specific vision abilities required by this job include close vision peripheral vision and ability to adjust addition abilities for assessing the accuracy neatness and thoroughness of the work assigned is required.
