GENERAL DESCRIPTION OF POSITION

The incumbent provides general secretarial assistance and acts as receptionist and answers the telephone for the department. Ensure that all office functions are performed efficiently and in a professional and timely manner to maintain office continuity. The incumbent is essentially the gatekeeper for the office as well as responsible for providing secretarial support. Initiates and installs new ideas for efficient operations.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  1. Greet individuals entering the office providing information or directing them to the appropriate individual within the office.
  2. Answer telephones direct phone calls to appropriate person or take messages in a polite and efficient manner.
  3. Runs office errands when the runner is out.
  4. Provides assistant to case coordinators with discovery requests and other items as needed.
  5. Sets up and enters new case files as needed.
  6. Handles the front -window with two (2) party complaints; gives victims appropriate paperwork.
  7. Perform secretarial duties that include word processing data entry photocopying filing preparing and sending mail/correspondence opening/distributing mail and faxing documents as requested.
  8. Mails victim letters and other victim correspondence such as court dates hearing etc.
  9. Mails crime victim reparation and VINE information to crime victims.
  10. Tracks down victim contacts information and updates computer systems with the information.
  11. Answers simple court questions for victims when they call or when needed.
  12. Maintains offices files in an accurate and efficient manner; scan files and update system.
  13. Assures victims safety while in our office; moves to an internal space if necessary for the safety of the individual.
  14. Updates database for closed files and indefinite retention files and puts them in boxes.
  15. Disseminates sentencing orders to appropriate people.
  16. Perform any other related duties as required or assigned.

QUALIFICATIONS

To perform this job successfully an individual must be able to perform each essential duty mentioned satisfactorily. The requirements listed below are representative of the knowledge skill and/or ability required.

EDUCATION AND EXPERIENCE

High school or GED plus specialized schooling and/or on the job education in a specific skill area e.g. data processing clerical/administrative customer service etc. plus 12 to 18 months related experience and/or training and 1 to 6 months related management experience or equivalent combination of education and experience.

COMMUNICATION SKILLS

Ability to effectively communicate information and respond to questions in person-to-person and small group situations with customers clients public and other employees of the organization.


SOFTWARE SKILLS REQUIRED

Advanced: Alphanumeric Data Entry Contact Management Word Processing/Typing

Intermediate: Spreadsheet

Basic: 10-Key Presentation/PowerPoint

USE OF MACHINES EQUIPMENT AND/OR COMPUTERS

Regular use of complex machines and equipment (desktop/laptop computer and software)

WORKING CONDITIONS

Normal working conditions as found within an office setting wherein there is controlled temperature and a low noise level plus a minimum of distractions.

ADDITIONAL INFORMATION

The incumbent should possess good communication skills as frequent contact is required with the public and others. Also the applicant should have good knowledge of modern office practices procedures and equipment. The incumbent should also possess good organizational skills for prioritizing workloads. Clerical/secretarial skills include computer skills software application knowledge accurate typing calculator (10-key) copier fax etc.

RECEPTIONIST

  • Starting rate of up to $33854 annually dependent upon customer service experience.
  • This position is scheduled to work Monday/Friday 8 AM to 4:30 PM with paid holidays off.
  • Bilingual pay of $2080 is available once proficiency has been established.
  • Group health dental and life insurance is paid by the County for the employees coverage provided the employee obtains a wellness check within the designated time frame.
  • For employee retirement the County contributes 15.32% per pay period of the employees gross towards the employees retirement through the Arkansas Public Employees Retirement System.
