Role Overview
We are looking for a P2P Supervisor to coordinate the daily technical execution of our global Procure-to-Pay processes. Reporting to the Manager of P2P you will serve as the operational lead ensuring that both internal workflows and our third-party vendor partner meet accuracy and timing standards. This role focuses on solving complex processing issues monitoring and clearing aged open items and maintaining the integrity of our financial data.
Key Responsibilities
1. Manage Aging
Aging Reports: Proactively review and reconcile aged open items and get in touch with vendors as needed.
GR/IR Resolution: Own the Goods Receipt / Invoice Receipt (GR/IR) reconciliation process. Collaborate with Procurement and Warehouse teams to resolve aging items and mismatched quantities.
Vendor Statement Audits: Manage the relationship with our third party provider to proactively reconcile vendor statements to identify missing invoices unapplied credits or payment discrepancies ensuring our aging reports remain accurate.
2. Exception Management
Escalation Point: Act as the first point of contact for the third-party vendor team when they encounter system blocks or process questions that prevent standard processing.
Urgent Payments: Coordinate the end-to-end workflow for manual or priority payment runs ensuring all internal controls and appropriate approvals are captured.
3. Audit & Operational Support
Audit Readiness: Function as the lead for gathering specific evidence and samples for internal and external audits (SOX) ensuring all documentation is accurate and organized.
Quality Assurance: Perform regular spot-checks on invoice processing to ensure high accuracy and adherence to company SOPs.
Month-End Support: Assist the Manager with P2P month-end activities
1099 Reporting: Review and transmit 1099s for US vendors to the Internal Revenue Service
Qualifications
Experience & Skills
P2P Background: 35 years of hands-on experience in Accounts Payable or a full P2P environment.
Operational Lead Experience: Experience acting as a senior processor or team lead who has reviewed the work of others or provided daily guidance to a vendor team.
Problem Solving: Proven track record to Identify and reconcile open items.
Systems Proficiency: Strong working knowledge of ERP systems (SAP Oracle or NetSuite) is required.
Excel Skills: Intermediate proficiency (Pivot tables VLOOKUPs) for data cleanup and operational reporting.
Education
Required: Bachelors degree in Commerce () Finance or a related field.
Preferred: or equivalent practical experience in a high-volume global environment.
