Requirements
What Youll Do
- Schedule and coordinate flooring and kitchen installation appointments using company scheduling software or project management tools
- Reach out to customers to confirm appointments review project timelines and communicate job readiness requirements
- Align installer and subcontractor schedules with material availability and project deadlines
- Maintain accurate and up-to-date job records contracts measurements and installation details in company systems
- Handle a multi-line phone system with professionalism managing customer inquiries scheduling requests and follow-ups efficiently
- Collaborate with sales warehouse and installation teams to ensure seamless project flow and on-time job completion
- Track deposits balances and basic invoicing details; support billing and payment coordination as needed
- Assist with front office operations including customer check-ins document filing data entry and general administrative support
- Use Microsoft Office (Word Excel Outlook) and industry-specific software to manage schedules and keep workflows on track
- Deliver excellent customer service by addressing concerns resolving scheduling conflicts and maintaining a welcoming professional office environment
What Were Looking For
- Proven experience in scheduling dispatching or office coordination; background in flooring kitchen construction or home improvement is a strong advantage
- Solid organizational and time-management skills with the ability to juggle multiple priorities in a high-volume deadline-driven setting
- Strong communicator professional on the phone and clear in writing
- Comfortable coordinating with installers subcontractors vendors and homeowners
- Proficient in Microsoft Office; familiarity with scheduling or project management platforms is a plus
- Detail-oriented with strong follow-through and a proactive approach to problem-solving
- Bilingual in English and Spanish required
- Prior experience as a receptionist administrative assistant or in a construction office setting is highly preferred
