An independent forum for prompt and impartial resolution of administrative law contested cases involving citizens and state agencies investigation of alleged unlawful employment practices in state government and codifying administrative rules.
Description of Work
The major purpose of this position is to screen and analyze all incoming calls and forward to appropriate personnel greet the public and clients open all incoming mail(USPS MSC Walk-Ins) file stamp and enter all incoming mail into the Case Management System (CMS) accurately and distribute a copy of each document to the assigned Administrative Law Judge (ALJ) when applicable making additional copies and scanning when necessary and returning a file stamp copy to party as requested. Alert ALJ/assistant when urgent Motions are filed. Bundle all outgoing mail for pick up (USPS/MSC/SAM) Receive and confirm all faxes to the sender key the faxed information into CMS. Monitor security cameras and alert appropriate personnel. . This position must maintain the confidentiality of Sealed or Protected Contested Cases.Knowledge Skills and Abilities/Management Preferences
This is a JOB-SHARE Position. The successful candidate willwork 40 hours every other week.This position is considered part-time.
Public Contact 30%This position has a great deal of contact with the public on a daily basis. This position is the main point of contact for the Office of Administrative Hearings. State agency representatives law firm clients and the general public come to this office on a regular basis with documents for filings to be date/time stamped and recorded and for appointments with office personnel. Professional decorum is a must. Records & Reports 10%This position receives lists and maintains a record of all checks received (Receipts Register) and deposited and keeps a notebook with copies of all invoices. Files 10%The Case Management System (CMS) is used extensively by this position entering filed documents and responding to inquiries from the public and state agencies to verify that they were received in this office and in a timely manner. Office Machine Operation 20%Computer time/date stamp machine telephone calculator copier e-mail and fax. Mail 30%This position is fully responsible for the processing and distribution of all incoming and outgoing mail.
Minimum Education and Experience
