Responsible for overseeing administrative operations related to patient intake scheduling documentation and ongoing support throughout the patient care journey. This role ensures seamless coordination of patient-related processes including referral intake scheduling and managing patient appointments and supporting care through discharge and post-discharge follow-up. The position also supports therapists with therapy-related tasks and techniques as directed to assist with effective treatment delivery while maintaining compliance with legal and organizational protocols.
Responsibilities:
- Assist in the patient intake process including managing referrals obtaining Primary Care Physician (PCP) signatures and securing necessary authorizations
- Facilitate communication between patients legal representatives and healthcare providers by sending and receiving patient notes progress reports and other documentation
- Support ongoing patient care activities throughout the patients treatment journey from initial intake to discharge and post-discharge follow-up
- Respond to patient and parent concerns or inquiries following discharge providing necessary information and support
- Coordinate with staff to ensure accurate and timely documentation and communication
- Maintain organized confidential and compliant records in accordance with legal and organizational standards
- Collaborate with supervisory staff to improve administrative workflows and enhance patient service delivery
- Perform other administrative duties as assigned to support the smooth operation of the office and patient care services
- Schedule confirm and reschedule therapy sessions while maintaining accurate calendars for therapists. Communicate with parents and caregivers ensure patient information is updated and support smooth daily clinic operations by keeping schedules organized and efficient
- Assist therapists during patient sessions by preparing materials supporting therapy activities and ensuring a safe organized treatment environment
Qualifications :
- Minimum of one year of prior experience in a fast-paced medical environment specifically in an intake coordinator or comparable position is required
- High school diploma
- Bilingual in Spanish preferred
- Proven experience in office management healthcare administration or related fields
- Excellent organizational and communication skills
Ability to handle sensitive information with discretion and professionalism - Knowledge of healthcare processes including referrals authorizations and legal documentation is preferred
- Proficiency in electronic health records (EHR) systems and standard office software
