Job title: Human Resources Generalist
Reporting to: Human Resources Supervisor
Location: kp Business Services Porto (Portugal)

Purpose of the job: Collaborate in the development and growth of the Finance Shared Service Centre (SSC) in Porto while also supporting broader HR strategies and initiatives aligned with the kp Group strategy ensuring effective HR support across multiple functions.

Tasks and responsibilities:

Recruitment & Onboarding

  • Support recruitment needs including completing recruitment projections screening interviewing and testing applicants making offers and reporting on progress;
  • Lead the admission onboarding and contract management processes;
  • Support and onboard new employees ensuring a smooth introduction;

Learning & Development

  • Coordinate the planning scheduling delivery and recording of training sessions;
  • Support the implementation of projects in collaboration with business stakeholders and the HR team;

Organisational Development & Internal Communication

  • Support the effective day-to-day operation of the Porto team across key areas such as Recruitment Learning & Development Organisational Development and Internal Communication;
  • Maintain and update organisational charts and job descriptions ensuring accuracy and alignment with business needs;
  • Collect and organise HR data to support reporting and decision-making;

HR Administration & Processes

  • Ensure the effectiveness of all administrative HR actions;
  • Maintain SSC personnel records and reports within HRIS and physical files;
  • Manage HR contracts and legal documentation;
  • Provide the Office Assistant with necessary information to coordinate occupational health activities;

Payroll & Benefits

  • Coordinate the payroll process;
  • Manage employees benefits;

Compliance & Policy

  • Ensure legal and data compliance throughout human resource activities;
  • Ensure effective execution of HR processes and policies by applying best practices implementing improvements and adapting to new guidelines and initiatives;

Employee Engagement & Workplace

  • Oversee employee engagement initiatives and assist in coordinating wellness committee activities;
  • Support workplace organization and coordinate subcontractor teams;

Offboarding

  • Manage the offboarding process including the return of company property and updating employee records while ensuring compliance with legal requirements;

Collaboration & Team Environment

  • Promote team work transparency and open communication;
  • Foster an inclusive environment promoting respect for diversity and the effective collaboration of people from all backgrounds;
  • Build trust and partnerships within the team and across the organisation;
  • Treat sensitive and/or confidential information appropriately.

Knowledge:

  • Payroll management expertise;
  • Strong planning and organisational skills;
  • English fluency (C1) in both written and spoken communication.

Functional/Technical Skills:

  • Bachelors or Masters degree in Human Resources or a related field;
  • Strong business communication skills including professional writing and verbal communication in English;
  • Proficiency in MS Office and HRIS systems with preferably experience in SuccessFactors;
  • Effective team collaboration and the ability to work independently;
  • Excellent time management and multitasking skills with the ability to prioritise tasks effectively;
  • Strong attention to detail and accuracy;
  • Analytical skills with experience working in complex global matrix environments.

Experience:

  • 3 years of professional HR experience ideally across different HR functions.
