We are looking for a dedicated Staffing Coordinator to join our team. The Staffing Coordinator is a critical member of our operations team responsible for supporting client staffing caregiver recruiting and ensuring high-quality home care delivery. This role requires a highly organized proactive and accountable individual who can manage complex scheduling respond to dynamic client needs and train new caregivers to meet company standards. This position reports to the Staffing Manager and works closely with the Director of Operations Administrative Assistant and other team members to maintain seamless scheduling and staffing operations.


Work Schedule:

- Full-time 40 hours per week (MondayFriday 8:30 a.m.4:30 p.m.).
-Rotating after-hours and weekend on-call coverage to ensure clients receive uninterrupted care.


Scheduling Responsibilities:

- Enter new client schedules into the WellSky system accurately and timely.
- Coordinate new client starts of care with the Director of Operations Administrative Assistant and additional team members ensuring all caregivers are properly oriented to client needs.
- Schedule new and existing clients on an ongoing basis monitoring schedules for accuracy and completeness.
- Ensure all caregivers shift tasks are updated daily and communicate schedules to caregivers and clients as needed.
- Verify critical client schedules with caregivers 12 days in advance.
- Complete client staffing schedules a minimum of four weeks in advance.
- Manage caregiver call-outs and client schedule changes promptly minimizing open shifts and unfunded overtime.
- Notify caregivers of schedule changes in a timely manner.
- Document all client and caregiver activity in the business system.
- Advise staff of any client issues or potential changes in level of care.
- Utilize and enforce the employee discipline system appropriately.
- Maintain confidentiality of all client caregiver and company information in compliance with HIPAA and company policies.
- Professionally handle all incoming calls from prospective clients and referral sources routing to the appropriate staff.
- Consistently meet established performance metrics for the position.
- Participate in rotating after-hours and weekend on-call coverage to ensure client care.


Recruiting/HR Support Responsibilities:

- Assist with caregiver screening and interviews.
- Support administrative onboarding of new employees.
- Provide HR staff with caregiver activity and performance information.


Onboarding Orientation and Training of Caregivers:

- Lead structured onboarding sessions for new caregivers reviewing company policies procedures and compliance requirements.
- Facilitate small-group training sessions (typically 15 caregivers) on proper care techniques equipment use (medical beds Hoyer lifts etc.) and client-specific care protocols.
- Conduct hands-on demonstrations and competency assessments to ensure caregivers are fully prepared for client assignments.
- Provide constructive feedback and coaching to reinforce best practices and address improvement areas.
- Customize training based on individual caregiver experience and specific client needs.
- Serve as a primary point of contact during the initial orientation period to provide support answer questions and ensure confidence in their role.
- Document training completion and caregiver progress in company records for compliance and performance tracking.


Qualifications:

- Minimum of 2 years experience in scheduling in home care or healthcare staffing.
- Strong organizational multitasking and problem-solving skills with attention to detail.
- Excellent verbal and written communication skills; comfort with constructive feedback.
- Ability to follow through on KPIs and meet performance metrics.
- Positive proactive attitude with a schedulers brain to think creatively under pressure.
- Experience in onboarding orientation and training staff.
- Longevity in previous roles; not a job-hopper.
- Comfortable working independently and collaboratively in a flexible office environment.
