Job Summary:
Shop Administrator supports shop through inventory tracking service call administration vehicle and equipment expense monitoring fuel reconciliation and financial coding of shop related transactions. The role works closely with shop mechanics and administrative leadership to ensure labor materials and equipment costs are accurately recorded and allocated to appropriate service calls.
Essential Duties & Responsibilities:
- Track vehicle and equipment expenses and ensure cost accuracy
- Distribute and track vehicle registration tags
- Enter shop labor hours and job allocations into company systems
- Inventory On-Road and Off-Road fuel usage by department and reclassify as needed
- Code financial transactions into Commerce and manage straight payables
- Collaborate with mechanics to ensure labor and materials are charged correctly to service calls
- Provide additional administrative support to operations leadership as needed
Excellent verbal and written communication skills.
Ability to anticipate and solve problems.
Excellent organizational skills and attention to detail.
Ability to meet deadlines.
Proficient with data entry and inventory software and systems.
Prolonged periods sitting at a desk and working on a computer.
Bilingual Preferred
Ability to collaborate closely with shop mechanics to ensure accurate allocation and charging of materials and labor costs to the appropriate service calls.
