Clerical Sub Team (SY)



The Cincinnati Public Schools invites applications forthe Clerical Sub Team. The Clerical Sub Team will be assigned to Talent Acquisition & Staffing and provide clerical assistance when needed at any location in the school district including Central Office and Iowa Street locations.


GENERAL STATEMENT OF DUTIES:
The Clerical Sub Team is a unique group of employees who are trained to perform at all levels of the clerical field. The Clerical Sub Team is responsible for providing all levels of clerical duties as needed at any location within the school district including Central Office and Iowa Street locations. This position provides coverage for clerical personnel who are scheduled for training short term absence of school/office clerical personnel assist offices/schools who are experiencing organizational problems and assistance during major school transitional periods.

EXAMPLES OF WORK PERFORMED:

Provide assistance to Clerical Specialist as needed.
Provide assistance in monitoring phone calls visitors and correspondence.
Plan and organize assignments.
Provide orientation training and coaching as needed.
Provide assistance with the organization of student records.
Maintain and enter a variety of data and information in various computer data files and
programs.
Resolve work unit problems.
Modern office procedures methods and computer equipment including a PC and related
software required in the performance of job activities (Microsoft Word Excel PowerPoint).
Order maintain supplies materials and equipment.
May verify funds available for a variety of financial activities within department/school.
May compile calculate maintain and review department/school payroll.
Prepare type word process and proofread a variety of documents (general correspondence
agendas and reports including responses under signature.
Provide information on department/school policies and procedures as required.
Route inquires and complaints to proper personnel.
Maintain list of schedules activities and locations of staff.
Set up meetings visits appointments and travel arrangements as needed.
May dispense prescribed medicine to students as needed.
Perform or check simple mathematical calculations.
Performs other related duties as required.

SUPERVISION EXERCISED AND RECEIVED:
Receives general supervision from assigned supervisory personnel.


MINIMUM QUALIFICATIONS

Knowledge of:
English usage spelling grammar and punctuation
Department/school procedures policies and rules as they relate to assigned position
Problem solving techniques
Microsoft word Excel and PowerPoint
Mathematical principles
Basic principles and practices of budget preparation
Basic principles and practices of accounting as appropriate to assigned area
PowerSchool (Enrollments withdrawals scheduling report cards)
Oracle (Payroll)
EPR Ohio (Requisitions Ordering Supplies)
AESOP (Teacher Time)
Cincinnati Federation of Office Professionals (CFOP) Collective Bargaining Agreement

Ability to:
Work independently.
Plan and schedule assignments.
Instruct and train.
Make sound judgments based on data analysis and observation.
Operate and use modern office equipment including us of a PC and related software required in
the performance of job duties.
Communicate clearly and concisely both verbally and in writing.
Prepare edit and proofread a variety of documents and correspondence.
Understand interpret and explain Board Policies Procedures and Rules to others.
Establish and maintain professional working relationships with those contacted in the course of
work.
Maintain confidentiality of restricted information.
Interpret appropriate provision of the CFOP Collective Bargaining Agreement.


QUALIFICATIONS:
Must be a Support Specialist or a current classified represented employee of the Cincinnati Federation of Office Professionals (CFOP) Collective Bargaining Agreement.

OTHER REQUIREMENTS:
Must have a valid Driver License. Must be willing to work overtime or other than normal day shift to meet work schedules.

PROBATIONARY PERIOD:
240 working days

Members of the Clerical Resource Team Clerical Sub Team and the Clerical Specialist are not permitted to voluntarily transfer until two (2) years of service in their current role. There are no restrictions on promotional opportunities for any member of the Clerical Resource Team Clerical Sub Team or Clerical Specialist.
