The Benefits & Leave Assistant is primarily responsible for the administration of employee leave of absence programs. This role manages the leave process from initial request through return to work ensuring compliance with the Family and Medical Leave Act (FMLA) the Americans with Disabilities Act (ADA) applicable state and local leave laws workers compensation and short- and long-term disability programs.
In addition the role provides administrative support for employee benefit programs including health and wellness benefits supplemental benefits open enrollment and 401(k) retirement plans. By ensuring compliant and efficient leave administration and supporting employees through complex leave and benefits processes this role enables employees and their leaders to remain focused on delivering quality patient care.

Duties/Responsibilities:
Leave of Absence Administration (Approximately 70%)
Provides support and assistance to employees and managers regarding leave of absence ADA accommodation and workers compensation in a high-volume environment.
Manages the leave of absence process from the employees initial notice through return to work. This includes ensuring employees understand their responsibilities gathering and completing required documentation determining leave eligibility designating leave as FMLA-qualifying requesting medical certification when necessary and tracking intermittent or reduced schedule leaves.
Accurately processes certifications for Family and Medical Leave Act (FMLA) requests in accordance with Department of Labor (DOL) and state specific regulations and company policies.
Determines the duration of FMLA and state-specific leaves based on information provided by healthcare providers.
Manages intermittent continuous and employee-specific disability absences.
Communicates disability and leave approvals denials extensions recertifications and return-to-work plans to managers and employees.
Facilitates accommodation requests under the Americans with Disabilities Act (ADA) and participates in the interactive process when necessary.
Maintains knowledge of all applicable leave and accommodation laws including FMLA ADA and state-specific leave legislation.
Administers the workers compensation process beginning with initial reporting and ensures timely communication with injured employees supervisors and the workers compensation carrier.
Maintains accurate documentation and preserves confidentiality of employee medical and leave records.
Collaborates with HR the workers compensation carrier and internal stakeholders to implement best practices related to leave administration.
Benefits Administration (Approximately 30%)
Processes employee benefit enrollments benefit terminations qualified life events and Qualified Medical Child Support Orders (QMCSOs).
Assists with the administration of health and wellness benefits supplemental benefits open enrollment and the 401(k) retirement program.
Provides frontline support to employees and managers regarding benefit-related questions.
Assists with benefits communications and documentation during open enrollment and throughout the plan year.
Performs other related duties and special projects as assigned.
Extensive knowledge of the leave requirements and other legal protections afforded by the FMLA ADA and other applicable laws.
Muti-state including California Colorado Massachusetts Minnesota Oregon & Washington leave administration experience.
Strong written and verbal communication and interpersonal skills with the ability to interact effectively with employees at all levels of the organization.
Excellent analytical and problem-solving skills.
Exceptional organizational skills and attention to detail.
Computer proficiency in Microsoft Office Suite and Workday.
Knowledge of basic HR policies and procedures.
Knowledge of state and federal regulations as they apply to FMLA.
Requires the ability to maintain confidentiality of sensitive information.
This position is an in-office position located in Team Select Home Cares Phoenix Central Support office.
1 year of experience in employee benefits leave administration and workers compensation.
PHR or SHRM Certification a plus.
Completion of specialized certification or training on FMLA/leave administration a plus.
