Job Summary
The Division of Social Services (DSS) is seeking an Executive Assistant to provide high-level administrative and operational support to executive leadership. This position serves as a key liaison between the Division government officials and external stakeholders ensuring effective communication coordination and resolution of administrative matters. The role oversees executive office operations including building management responsibilities related to safety facility operations and emergency preparedness and prepares correspondence reports and documentation that reflect the executives priorities and commitments.
The Executive Assistant also responds to inquiries regarding programs policies regulations and legislative matters evaluates new or proposed regulations to assess operational impact and conducts research and data analysis to support informed decision-making. Additional responsibilities include assisting with budget development and monitoring supporting the legislative process as a liaison during session and maintaining confidential records in compliance with federal and State laws.
Job Duties
This position provides high-level administrative and operational support to agency leadership helping resolve administrative and fiscal matters while serving as a liaison between the agency managers state officials and external partners. The role includes acting as Building Manager for a large administrative office overseeing facility operations safety procedures drills landlord coordination and related building matters. Responsibilities include screening and prioritizing incoming correspondence calls reports and visitors; coordinating meetings hearings and travel arrangements; and ensuring agendas materials and minutes are prepared and distributed accurately.
The position drafts and edits correspondence reports and briefing materials reviews documents for quality and completeness and responds to inquiries from government officials partners and the public regarding programs policies regulations and legislative matters. Additional duties include conducting research analyzing operational and policy issues gathering and interpreting data to develop recommendations for leadership monitoring program and media developments affecting the organization and tracking agency directives and projects to ensure timely completion. The role also assists with development and monitoring of the executive office budget and supports the legislative budget process including serving as a Legislative Liaison during session.
Knowledge Skills and Abilities
The successful candidate will demonstrate the ability to lead complex programs and multidisciplinary teams establish long-term strategic goals and implement data-driven improvements to enhance service delivery. This role requires strong collaboration with community partners federal agencies and internal stakeholders as well as the ability to navigate evolving regulatory and operational environments with resilience and sound judgment.
Employment is contingent upon successful completion of a background investigation including fingerprint-based criminal history screening. Statewide travel is required.
