About the position


As the Office Manager youll oversee the general operation of our Buenos Aires office. On your day to day duties you will manage office suppliers receive visitors own layout office safety (i.e Seguridad e higiene) coordinate trips and you will also be managing coordinating and ensuring that the needs across departments are met providing administrative and logistical support to different departments of the Company.


Location

Buenos Aires office. Working hours 9:00-15:00.


Responsibilities


  • Facilities Management:
    • Proactive Problem Solving (The Truman Show effect): Maintain a 360-degree view of the office to identify and resolve maintenance issues (leaks lightbulbs AC etc.) before they impact employees. The goal is a seamless uninterrupted workspace experience.
    • Maintained the office environment in a high standard (cleaning maintenance office build-out when needed)
    • Support and manage the reception service.
    • Health & Safety (Seguridad e Higiene): Serve as the primary point of contact for the S&H consultant. Ensure all legal requirements are met (evacuation plans fire extinguishers first aid kits ART documentation) and lead the Office Emergency Response team.
    • Coordination of courier (national and international) services when necessary.
    • Continuously seek opportunities to enhance office operations and infrastructure aligning workplace strategy with the shifting needs of the team.
  • Office Supplies:
    • Make sure we are efficient in the office supplies (office equipment library furnitures supermarket fruits lunch room etc)
    • Own the facilities procurement process (enter requisitions and create purchase orders on the ERP and follow up with suppliers).
    • Owns pantry and cafeteria services.
    • Structural Improvements: Regularly propose and execute layout optimizations or furniture upgrades to enhance comfort and productivity.
  • Expense control:
    • Keep an eye on facilities suppliers having a good understanding of the benefit / cost of each of our suppliers and potential alternatives.
    • Follow up with facilities suppliers to ensure service providers and vendors invoices are correct received and paid on time.
  • Event Planning: Organize and coordinate events in an efficient manner such as corporate events.
  • HR Support: Assist on on-boarding and off-boarding process (laptops supplies delivery / pick up coordination).
  • T&E:
    • Own travel logistics for all Satellogic staff suppliers customers. Coordinate with the office managers team.
    • Look on ways to improve the current T&E costs.
  • Cel phone services: responsible for maintaining the office cel phones fleet.


About you

Experience

  • High school graduate / Studying Executive Assistant / Business Administration
  • Proven experience (3 years) in similar position
  • Our global company language is English so excellent English skills are essential.

  • Familiar with GSuite package
  • Proficiency in multi-task prioritization
  • Strong organizational and time management capacity
  • Look for permanent improvement (suggest changes)
  • Generate empathy with our internal customers
  • Ability to spot misalignments in the office environment immediately
  • Vendor Management & Negotiation: Not just paying invoices but actively challenging costs and seeking higher quality partners
  • Decision making
  • Experience using ERP systems desirable
  • Intermediate English proficiency levels.
