The Department of Homeless Services (DHS) is one of the largest organizations of its kind committed to preventing and addressing homelessness in New York City. Collaborating with other public agencies and not-for-profit partners the Department of Homeless Services works to prevent homelessness before it occurs reduce street homelessness and assist New Yorkers to transition from shelter into appropriate permanent housing.

DHS is committed to continuous improvement and employs innovative strategies to deliver high-quality services that support a swift transition from shelter to self-sufficiency. The agency manages hundreds of facilities and operates with a large team as well as a several billion-dollar budget to meet the diverse needs of New Yorkers experiencing homelessness.

The Operations Office Manager performs difficult administrative work responsible for providing administrative assistance to the Office of the Chief Operating Officer. The Operations Office Manager gathers confidential information involving division operations prepares memos progress reports and other special projects/assignments.

DHS is recruiting one (1) Principal Administrative Associate Level II to function as an Operations Office Manager the selected candidate will be responsible but not limited to the following:

- Manage calendar scheduling to support the office of the Chief Operating Officers requests for meetings with internal and external partners; arrange executive level meetings and meetings with contracting groups/partnerships. This includes the preparation of agendas and meeting materials; taking minutes at senior staff meetings and follows up on outstanding issues.

- Address a high volume of complex priorities questions and issues as they arise from both internal and external. This can often involve urgent and sensitive information.

- Manage office supplies ensuring the entire office is stocked and operational; maintain inventory of office supplies and placing orders as necessary; coordinate with vendors to procure supplies and equipment as needed.

- Complete a broad variety of high-level administrative tasks and special projects for the Office of the Chief Operating Officer.

- Support onboarding processes for new hires ensuring they have the tools and resources needed to succeed.

- Track project timelines deliverables and outcomes providing regular updates as needed.

- Act as a liaison between division units senior staff and other departments.

- Organize and maintain office systems records and files.

- Coordinate programmatic activities and events for Operations staff including employee recognition events.

- Assist new and current employees with ID creation distribution and related access needs.

- Perform additional duties as assigned by the Chief Operating Officer and the Senior Advisor.

Qualifications :

1. A baccalaureate degree from an accredited college and three years of satisfactory full-time progressively responsible clerical/administrative experience one year of which must have been in an administrative capacity or supervising staff performing clerical/administrative work of more than moderate difficulty; or
2. An associate degree or 60 semester credits from an accredited college and four years of satisfactory full-time progressively responsible clerical/administrative experience including one year of the administrative supervisory experience described in 1 above; or
3. A four-year high school diploma or its educational equivalent approved by a States department of education or a recognized accrediting organization and five years of satisfactory full-time progressively responsible clerical/administrative experience including one year of the administrative supervisory experience as described in 1 above;
4. Education and/or experience equivalent to 1 2 or 3 above. However all candidates must possess the one year of administrative or supervisory experience as described in 1 above. Education above the high school level may be substituted for the general clerical/administrative experience (but not for the one year of administrative or supervisory experience described in 1 above) at a rate of 30 semester credits from an accredited college for 6 months of experience up to a maximum of 3½ years.
