PURPOSE:
To work in partnership with the Medicaid Specialist and Student Services by providing administrative clerical and logistical support for the Districts Medicaid program. This role assists in ensuring accurate documentation maintaining comprehensive records and facilitating the day-to-day operational needs of the department to maximize program efficiency.
JOB QUALIFICATIONS:
- Valid AZ DPS IVP Fingerprint Clearance Card
- Minimum of High School Diploma or equivalent certificate (required)
- Valid Drivers License
- Experience in clerical data entry or administrative support roles preferred
- Familiarity with special education programs or Medicaid processes preferred
- Strong organizational skills and attention to detail
- Working knowledge of computers databases and office software
- Exhibited ability to work independently and exercise professional judgment
- Working knowledge and experience in working with Microsoft Suite and Google Suite particularly with excel and google sheets
- Excellent communication skills and demonstrated ability to work effectively with various stakeholders

DUTIES AND RESPONSIBILITIES:
Medicaid Duties and Responsibilities:
- Maintain physical and electronic records of provider licenses certifications CPR CPI Social Security cards and identification documents.
- Assist with Health Aide Authorization approvals for service minutes under established thresholds and process Parent Consent documentation.
- Generate track and distribute IEP expiration reports to case managers and administrators.
- Assist with data entry and documentation for the Daily Random Moment Time Study (RMTS).
- Collect organize and distribute transportation documentation related to Medicaid services.
- Manage inventory and check-in/check-out of laptops Chromebooks test kits and therapy equipment.
- Support logistical arrangements for CPI and CPR trainings including tracking participation and maintaining records.
- Assist the Medicaid Specialist with maintaining organized provider and staff files.
- Perform other duties as assigned.
- Foster Care and McKinney-Vento Duties and Responsibilities
Identification and Enrollment
Coordinate Identification: Ensure school personnel (registrars secretaries etc.) are trained to identify students in housing transition or foster care.
Immediate Enrollment: Facilitate the immediate enrollment of students even if they lack normally required documents such as proof of residency immunization records or birth certificates.
Best Interest Determinations (BID): Lead meetings with child welfare agencies and families to determine if it is in the students best interest to remain in their school of origin or move to a local neighborhood school.
Support Services & Advocacy
Barrier Removal: Identify and eliminate barriers to participation in extracurricular activities magnet schools summer programs and career/technical education.
Transportation Coordination: Arrange and oversee transportation services to ensure students can attend their school of origin.
Community Referrals: Connect families with medical dental mental health and housing providers.
Unaccompanied Youth Support: Provide specialized advocacy for youth not in the physical custody of a parent or guardian.
Compliance & Data Management
Public Notice: Ensure that the educational rights of students are posted in schools and community locations (shelters food pantries etc.).
Dispute Resolution: Manage the formal dispute resolution process regarding eligibility school selection or enrollment.
Reporting: Maintain accurate confidential records and submit state-required data regarding the number of identified students and services provided.
Professional Development: Conduct annual training for all district staff on the requirements of the McKinney-Vento Act and Foster Care provisions.
