Duties and Responsibilities (* denotes essential functions):

  • *Supervises monitors manages and oversees the Campus Operations and Facilities (COPF) Work Coordination Center (WCC) which coordinates and monitors work orders (WOs) for the maintenance and repair of and minor alterations to the University of Hawaii Manoa (UHM) main campus facilities. Serves as the primary COPF contact for phone email and walk-ins inquiries from within and outside of the UHM community.
  • *Oversees all aspects of WCC. Works with administration and all COPF divisions to continually improve the efficiency of WCC and the effective delivery of services to campus constituents.
  • *Reviews prioritizes and directs the processing of WOs. Monitors the progress of WOs and facilitates communication within COPF and between COPF and the requesting UHM departments.
  • *Administers the AiM Work Management system for UHM main campus and maintains parallel data in the Lokahi application system. Reviews and prepares periodic reports analyzes system operations and researches and develops alternate plans to improve campus operations. Serves as the UHM Campus Coordinator for AiM Work Management users.
  • Develops and recommends WO Key Performance Indicator (KPI) standards through the evaluation and analysis of WO completion data available in the AiM and Lokahi systems. Prepares ad hoc activity and cost reports for the COPF Director and Managers.
  • Routes alteration and modification requests to COPF Technical Group for discussion and review.
  • *Updates and maintains records of COPFs repair and maintenance responsibilities including Alteration Agreements Memorandums of Agreement and other related documentation.
  • *Establishes effective working relationships with all COPF operations and maintenance groups management technicians and customers to understand current maintenance needs and future maintenance requirements for the Manoa campus. Oversees work order data to ensure integrity timeliness and accuracy of all info related to the handling of WOs. Makes recommendations to COPF managers to refine processes and improve the quality of WO info and business processes.
  • *Meets with all relevant departments including but not limited to the Department of Public Safety Environmental Health and Safety Office Office of the Scheduler Outreach College Facilities Access Control Space Management Facilities Business Office Office of Project Delivery Office of System Integration and Office of Risk Management as needed to clarify COPFs capabilities and respond to department needs and expectations.
  • Assists in the resolution of maintenance problems by conferring with COPF personnel.
  • Oversees general-use facility scheduling during non-academic periods. Provides necessary briefings to schedulers and users to ensure compliance with facilities-use policies and procedures and to calculate applicable fees.
  • Administers policies rules regulations and practices impacting COPF and provides advice and assistance to COPF users.
  • *Manages the UHM Building Coordinator program: conducts training facilitates monthly informational sessions maintains the associated directories and email groupings.
  • Files property claims for damage to equipment and building systems within COPF custody.
  • Manages the COPF cell phone program.
  • Other duties as assigned.

Minimum Qualifications:

  1. Possession of a baccalaureate degree in Business Administration or related field and 3 years of progressively responsible professional experience with responsibilities for facilities services and/or customer services administration or equivalent combination of education and/or professional work experience which provides the required education knowledge skills and abilities as indicated.
  2. Considerable working knowledge of principles practices and techniques in the area of facilities services and/or customer services administration as demonstrated by the broad knowledge of the full range of pertinent standard and evolving concepts principles and methodologies.
  3. Considerable working knowledge and understanding of applicable federal and state laws rules regulations theories and systems associated with facilities services and/or customer services administration.
  4. Demonstrated ability to resolve wide-ranging complex problems through the use of creative reasoning and logic to accurately determine the cause of the problems and their resolution in an effective innovative and timely manner.
  5. Demonstrated ability to interpret and present information and ideas clearly and accurately in writing verbally and through the preparation of reports and other materials.
  6. Demonstrated ability to establish and maintain effective working relationships with internal and external organizations groups team leaders and members and individuals.
  7. Demonstrated ability to operate a personal computer and apply word processing and spreadsheet software.
  8. If applicable for supervisory work demonstrated ability to lead subordinates manage work priorities and projects and manage employee relations.
  9. Demonstrated competencies in technical knowledge critical thinking skills communication skills and interpersonal skills.

Desirable Qualifications:

  1. Possession of a masters degree from an accredited college or university in administration or related field.

  2. Supervisory experience in a customer-service-oriented environment.

  3. Course work in computer information systems.

  4. Demonstrated intermediate proficiency in the use of pivot tables or similar tools used to analyze large data sets.

  5. Working knowledge of the University of Hawaii Manoa campus facilities and organizational structure.
